About the Role

The Human Resources Specialist is responsible for the accurate and timely processing of weekly payroll for union and non-union employees, while maintaining payroll records and employee files. This role also provides primary support for workers’ compensation administration, ensuring timely reporting, documentation and coordination of claims.

Responsibilities

  • Process weekly payroll for union and non-union employees, including employee changes, incentives and bonuses
  • Review and verify timecards, ensuring accuracy and resolving discrepancies
  • Manage timekeeping system updates and data imports
  • Process wage garnishments, liens and child support orders
  • Audit payroll reports to ensure accuracy and proper balancing
  • Maintain payroll data within the AS400 system
  • Issue manual checks when required
  • Maintain benefit accruals
  • Serve as the primary point of contact for all workers’ compensation matters
  • Promptly report workplace injuries to the insurance carrier
  • Manage and track claims, ensuring proper documentation and follow-up
  • Process required forms (e.g., C-11, C-240, medical documentation and any other related paperwork)
  • Coordinate with employees, managers, medical providers and insurance representatives
  • Maintain organized and compliant workers’ compensation files
  • Maintain accurate and confidential employee and payroll records in HRIS and AS400
  • Maintain and administer union associate seniority records in accordance with the Collective Bargaining Agreement (CBA)
  • Track union employee attendance in accordance with the CBA
  • Process employment verifications (current and former employees)
  • Respond to and verify unemployment claims in a timely manner
  • Process and report union pension hours, monthly dues and other required contributions, ensuring accuracy and compliance with the CBA
  • Prepare and provide monthly safety data to the Health & Safety and Site Security Manager
  • Prepare and provide weekly/biweekly reports to the Accounting Department
  • Support audits and internal reporting as needed
  • Perform other related duties as assigned

Requirements

  • 2-5 years prior payroll processing experience required
  • Experience with ADP Workforce Now strongly preferred
  • Proficiency in Microsoft Office Suite, particularly Excel
  • Strong attention to detail, accuracy, and organizational skills
  • Ability to handle confidential information with discretion
  • Effective communication and problem-solving skills
  • Experience working in a union environment
  • Knowledge of workers’ compensation processes and regulations
  • Familiarity with AS400 systems
