About the Role
The Sr Research Administrator (SRA) is responsible for post-award grant management for the Department of Epidemiology. This role supports investigators during grant implementation and close-out and is the primary lead for budget management, compliance, spend monitoring, and collaboration with Grants and Sponsored Programs and Grants Finance teams. The SRA administers a large, high dollar and varied portfolio of sponsored awards that may include multiple faculty and locations. The roles necessitates management of competing priorities while providing excellence in customer service to internal and external customers; ensuring activity records are accurate and appropriately organized and recorded in a timely manner; independently monitoring sponsored agreements, contracts and subawards; serving as a training resource for faculty and staff at all levels; development of documentation of protocols, templates, and additional resources; understanding and compliance with federal and other sponsor guidelines and regulatory documents.
Responsibilities
- Manage post-award administration of grants and sponsored programs, including budget preparation and review, subaward monitoring, award close-out, and coordinating annual reporting.
- Ensure compliance with federal, sponsor, or institutional guidelines related to grants.
- Proactively collaborate with cross-functional teams, including research teams, sponsor institutions, grants finance, and grants and sponsored programs, to manage the department’s portfolio.
- Support the development and maintenance of standard operating procedures to ensure high-quality services.
- Meet routinely with funded faculty to review grant progress and budget spenddown.
- Develop, prepare, revise, and finalize project budgets and provide budget justifications.
- Manage the subaward process with external partners and facilitate documentation for fiscal and audit compliance.
- Perform other duties as assigned to meet departmental and institutional goals.
- Maintain regular and predictable attendance.
Requirements
- Bachelor's degree required.
- Minimum of 4+ years of experience in administration processes applicable to grants and sponsored programs.
- Experience working with relevant regulations.
- Experience working with cross-functional teams.
- Proven performance in earlier roles.
Skills
- Experience with grant management module in Workday preferred.
- Experience using and managing grant contract lifecycle management software and contract platforms.
- Proven track record of budget management for projects of varied complexity and scope.
- Effective monitoring of compliance with financial regulatory requirements and reporting issues.
- Utilization of reports and management of documentation to efficiently monitor financial compliance requirements.
- Proactive communication with faculty on challenges and concerns.
- Clear and well-thought-out presentation of information tailored to the audience.
- Effective problem-solving with partners to align with grant aims and departmental priorities, ensuring compliance and responsiveness to changing needs.
- Strong understanding of financial systems, tools, and processes.
- Skilled in grant budget close-out and internal & external financial reporting.
- Ability to create reports for internal & external audiences and evaluate data to identify business issues.
- Critical analysis of data to draw meaningful conclusions and conduct root-cause analysis.
- Good understanding of contract management, agreements, and negotiation.
- Support faculty and staff in resolving issues related to contracts and grant supply needs.
- Strong knowledge of policies, practices, and concepts related to research administration.
- Maintenance of complete and accurate research management administration data.
- Independent assessment of complex contract and grant proposal requirements and management of complex proposals and awards.
