About the Role

The Office Services / Production Lead serves as a critical operational leader within the site team and is an ideal stepping stone toward a Site Supervisor role. This position provides hands-on leadership, oversight of day-to-day office services operations, and coordination of production, mail, facilities, reception, and client support activities. The Production Lead acts as a subject matter expert, trusted client resource, and team lead, helping ensure service excellence while developing leadership, decision-making, and operational skills necessary for future supervisory responsibilities.

Responsibilities

  • Serve as the primary point of coordination for daily office services and production activities.
  • Delegate and prioritize production tasks across service specialists to ensure timely completion of client requests.
  • Provide guidance, training, and support to team members while promoting accountability and service excellence.
  • Assist in resolving operational challenges, service interruptions, and escalated client concerns.
  • Support Site Supervisors and management with workflow coordination, reporting, and process improvements.
  • Model professional behavior and uphold all organizational standards, policies, and service expectations.
  • Deliver exceptional customer service while acting as a trusted resource for clients and colleagues.
  • Proactively communicate project status, deadlines, challenges, and resolutions.
  • Ensure all client requests are completed accurately, professionally, and within established service levels.
  • Respond promptly to inquiries and provide solutions-oriented support with a positive, "can-do" attitude.
  • Build strong working relationships while maintaining a high level of professionalism and responsiveness.
  • Coordinate and perform copy, print, scanning, binding, and finishing services.
  • Review project instructions and ensure all deliverables meet quality standards and client specifications.
  • Calculate production requirements and labor estimates for projects.
  • Conduct quality control checks to ensure accuracy and consistency before delivery.
  • Monitor production workflows and adjust resources to meet deadlines and service expectations.
  • Oversee incoming and outgoing mail, shipping, courier, and package distribution activities.
  • Ensure timely processing and delivery of parcels, messenger services, and overnight shipments.
  • Maintain knowledge of postal regulations and shipping procedures.
  • Investigate and resolve delivery issues, damaged packages, and other service-related concerns.
  • Support office operations through inventory management, supply distribution, and satellite copy room oversight.
  • Coordinate office moves, furniture relocations, and facilities-related requests.
  • Act as a liaison between clients, facilities teams, and building management.
  • Assist with maintenance requests and ensure facility issues are communicated and addressed promptly.
  • Provide professional reception coverage as needed.
  • Greet visitors and guests in a welcoming and professional manner.
  • Answer and direct calls, take accurate messages, and maintain reception area organization.
  • Serve as an ambassador for both the client and organization through positive first impressions.
  • Accurately track production volumes, billable activities, charges, logs, and operational metrics.
  • Maintain documentation and reporting related to service delivery and operational performance.
  • Ensure adherence to established operating procedures, best practices, and quality standards.
  • Support continuous improvement initiatives and contribute ideas to enhance efficiency and client satisfaction.

Requirements

  • High School Diploma or equivalent required.
  • Minimum of 1-3 years of professional experience in office services, production services, copy/print operations, facilities, hospitality, records, or related service environment.
  • Previous experience leading projects, coordinating workflows, or providing informal team leadership strongly preferred.
  • Prior experience in a client-facing environment with a strong customer service focus.
  • Working knowledge of Microsoft Office applications, including Outlook, Word, and Excel.
  • Ability to frequently stand, walk, bend, kneel, lift, and carry materials throughout the workday.
  • Ability to lift and move up to 40 pounds regularly.
