About the Role
The CMMS coordinator is responsible for managing and maintaining the organization’s Computerized Maintenance Management System (CMMS), specifically Maintenance Connection, to ensure accurate data entry, reporting, and workflow optimization. This role also provides administrative support to the maintenance and management teams, ensuring compliance, accuracy, and efficiency in operational and financial processes.
Responsibilities
- Maintain and update Maintenance Connection database, including work orders, preventive maintenance schedules, asset records, and inventory.
- Generate and distribute reports on maintenance activities, KPIs, and compliance metrics.
- Train staff on CMMS usage and troubleshoot system issues as needed.
- Ensure data integrity and accuracy within the CMMS platform.
- Answer telephones and direct inquiries professionally and in a client-centric manner.
- Maintain confidential personnel files.
- Process vendor invoices for payment, verifying pricing against bid specifications and resolving discrepancies.
- Perform monthly vendor statement reconciliation and assist with end-of-month financial reporting.
- Attend in-service and safety meetings as required.
- Maintain a clean and safe work environment and adhere to all safety protocols.
- Perform other duties as assigned.
Requirements
- Prior administrative experience is required.
- One to two years of related experience in a fast-paced organization is required.
- Thorough knowledge of contract administration and office procedures.
- Must be able to maintain strict confidentiality regarding sensitive client and company information.
- Qualified candidates must be able to perform the essential functions of this position satisfactorily with or without a reasonable accommodation.
Skills
- Proficient computer skills and knowledge of MS Office products, including Word, Excel, PowerPoint, Outlook, and internet.
