About the Role
The Senior Administrative Assistant provides comprehensive support to the Associate Dean for Research facilities and operations, and the Dean for Research. This role requires advanced skills with complex computer applications and software, along with the ability to multitask and strong organization and communication skills.
Responsibilities
- Support the Associate Dean for Research Facilities and Operations and the Dean for Research, School of Medicine, including managing travel arrangements and reimbursements, and maintaining busy calendars and meeting schedules.
- Perform secretarial and administrative functions, assist in staff recruitment and training, coordinate equipment, space, and other resources.
- Compile budget data up to $2M and monitor expenditures.
- Assist in gathering and analyzing data for managerial decisions.
- Produce and maintain annual feedback and ROI surveys for all cores, bridge funding, and grant opportunities.
- Assist with new grant applications and grant extensions.
- Administer the Targeted Research Grant Opportunities program for School of Medicine faculty.
- Serve as back-up to Grants Management within the department.
- Maintain all department recruits through the Talent Management System (TMS).
- Coordinate the department's annual performance programs and evaluations.
- Perform other duties as assigned.
Requirements
- Associate degree (foreign equivalent or higher).
- Five (5) years of full-time administrative experience in an office setting.
- Experience working with payroll and/or personnel records (Onboarding).
- Experience with software application programs including Microsoft Outlook, Word, Excel, and/or PowerPoint.
