About the Role

The Procedure Scheduler coordinates and manages the scheduling of medical procedures across the United States, ensuring efficient patient scheduling, optimizing resource utilization, and minimizing wait times. Responsibilities

  • Coordinate and schedule patient procedures by communicating with physicians, patients, and clinical departments to confirm availability and requirements.
  • Verify patient insurance information and obtain necessary authorizations prior to scheduling procedures.
  • Maintain accurate and up-to-date scheduling records in electronic health record (EHR) systems and other scheduling software.
  • Respond promptly to patient inquiries regarding appointment times, preparation instructions, and procedural details.
  • Collaborate with clinical and administrative teams to resolve scheduling conflicts and optimize procedure room utilization.
  • Ensure compliance with healthcare regulations and institutional policies related to patient scheduling and data privacy.
  • Prepare and distribute daily procedure schedules to relevant departments and staff.
  • Assist in tracking procedure volumes and reporting scheduling metrics to management.

Requirements

  • High school diploma or equivalent required; associate degree or higher preferred.
  • Previous experience in medical scheduling, healthcare administration, or a related field.
  • Familiarity with electronic health record (EHR) systems and scheduling software.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both verbal and written.
  • Certification as a Certified Medical Administrative Assistant (CMAA) or similar credential.
  • Experience working in a hospital or outpatient clinical setting.
  • Knowledge of medical terminology and insurance authorization processes.
  • Proficiency with Microsoft Office Suite and healthcare management software.
  • Demonstrated ability to work effectively in a fast-paced, team-oriented environment.
