About the Role
The Receptionist/Admin Assistant will perform administrative tasks and services to support effective and efficient operations throughout the agency.
Responsibilities
- Manage the front desk by answering and directing calls, greeting visitors, overseeing guest management, and tracking appointments.
- Provide administrative support for special projects, including purchasing, event coordination, and clerical organization.
- Handle agency-wide tasks such as check distribution, mail management, and posting communications.
- Assist Human Resources with updating employee information, compliance reporting, documenting communications, and other administrative projects.
- Track document signatures and ensure timely reporting.
- Ensure the building operates safely and efficiently by opening and/or closing the facility.
- Monitor cleanliness in communal areas and report maintenance or cleanliness issues.
- Implement and monitor new programs and tasks as needed.
- Ensure workloads are completed promptly and deadlines are met.
- Track and maintain the agency's inventory of technology and resources in collaboration with HR and team members.
- Promptly communicate and escalate issues requiring attention, ensuring follow-up and resolution.
- Assist with reporting and compliance tracking.
- Perform additional assignments as deemed necessary by the Supervisor.
Requirements
- Minimum age of 18.
- Prior experience with administrative job duties preferred.
- High School Diploma or GED required.
- General flexibility required.
- Valid Driver's License required.
- Ability to assist with toileting and hygiene, which could involve lifting, with reasonable accommodations considered for individuals with disabilities.
