About the Role

Responsible for being the first point of contact for patients, staff, and guests presenting at the clinic, and performing all administrative tasks associated with patient check-in.

Responsibilities

  • Open front office and perform all associated duties.
  • Welcome, greet, and assist patients courteously and professionally.
  • Schedule patient appointments accurately and efficiently using the computer system.
  • Answer incoming telephone calls, provide information, or route calls as needed.
  • Register patients by accurately entering demographic and insurance information into the electronic medical system.
  • Verify and ensure completeness of patient registration documentation.
  • Verify and enter patient data into the electronic medical system.
  • Review and verify patient insurance coverage using online resources.
  • Explain payment options, including sliding scale fees, Medicare, Medicaid, and other payment assistance.
  • Collect deposits or co-payments/deductibles prior to patient being seen by the provider.
  • Perform closing and end-of-day processes, including daily posting of collected monies and balancing the drawer for deposit.
  • Utilize clinic software systems, including i2i, Tableau, Vital Interactions, Patient Portal, and check-in kiosks.
  • Run Vital Interaction reports and follow up on appointments needing confirmation and no-shows.
  • Collaborate with nursing, provider, medical assistant, and extended care teams for smooth patient flow and reduced cycle time.
  • Assist the clinical care team in closing gaps in care by notifying patients of services due.
  • Scan medical documents into the EMR system with the HIM department.
  • Notify appropriate personnel of emergencies, messages, and patient arrivals.
  • Document and communicate patient concerns to the site triad leadership team.
  • Work assigned hours, including occasional hours outside of regularly scheduled times and weekends.
  • Participate in meetings and trainings, adhering to company policies and procedures.
  • Maintain confidentiality of all patient, clinical, and company information, adhering to HIPAA guidelines.
  • Perform all duties ethically, consistent with the I Promise statement.
  • Perform other job-related duties as assigned.

Requirements

  • Knowledge of healthcare office concepts, practices, policies, and procedures.
  • Knowledge of insurance verification procedures.
  • Knowledge of Microsoft Office Applications (Word, Excel, Outlook).
  • Knowledge of HIPAA and Joint Commission guidelines and regulations.
  • Skilled in providing exceptional customer service.
  • Skilled in verbal and written communications, including telephone and email etiquette and documentation.
  • Skilled in working independently in a fast-paced, multi-task clinical environment, as well as part of a team.
  • Skilled in effective problem-solving techniques.
  • Ability to work in a self-directed, organized manner.
  • Ability to multitask while maintaining strong attention to detail and accuracy.
