About the Role
As an Office Coordinator at Tandym Group, you will play a key role in creating a seamless and welcoming office environment while supporting the day-to-day operations of the business. You will partner with employees across the organization to ensure the office runs efficiently, coordinating administrative functions, travel, meetings, events, facilities, and office operations. You'll manage multiple priorities and help deliver an exceptional experience for employees, clients, and visitors through professionalism, organization, and attention to detail.
Responsibilities
- Collect, sort, and distribute incoming mail
- Receive, sign for, and unpack deliveries and packages
- Maintain office kitchens and common areas, including restocking supplies and cleaning coffee and water machines
- Order office supplies, groceries, snacks, beverages, and other office essentials for all Tandym locations
- Coordinate office supply inventory and manage vendor relationships
- Reset office spaces following meetings and company events
- Serve as the primary liaison with building management and facilities
- Manage building access for employees and visitors, including the Brevo building access app
- Maintain and update office guest lists and visitor registrations
- Coordinate conference room scheduling and bookings
- Manage calendars and coordinate travel arrangements
- Prepare presentations and other business documents using Microsoft Word, Excel, and PowerPoint
- Screen and route incoming calls while providing a professional first impression
- Order and manage company business cards
- Coordinate logistics for company events, networking functions, recruiting activities, and job fairs
- Order catering and lunches for meetings and client visits, including DOE meetings
- Create welcome and swag bags for client visits
- Write and send thank-you cards to clients on behalf of Tandym
- Coordinate event materials and ensure all deliverables arrive on time
- Assist with onboarding logistics, including building access and office setup for new employees
- Coordinate materials and logistics for recruiting events and career fairs
- Track deadlines and follow up on time-sensitive projects to ensure nothing falls through the cracks
Requirements
- Associate's to Bachelor's Degree preferred
- 0–3 years of experience in Office Administration, Administrative Support, Hospitality, Customer Service, or a related field
- Strong organizational skills with the ability to prioritize multiple tasks in a fast-paced environment
- Excellent verbal and written communication skills with a professional and customer-focused demeanor
- Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
- Proactive, resourceful, and willing to take initiative to solve problems and support the team
- Ability to handle confidential information with professionalism and discretion
- Comfortable performing hands-on office responsibilities, including receiving packages, setting up meeting spaces, stocking supplies, and lifting up to 25 pounds
- A positive, team-oriented attitude and a willingness to jump in wherever needed
- A hospitality mindset with a passion for creating a welcoming, organized, and positive experience for employees, clients, and visitors
