About the Role

As an Administrative Assistant, you will work closely with leadership, providers, and APPs, managing calendars, and assisting with reimbursements, travel, CMEs, and time cards. This role offers a great opportunity to utilize strong communication and critical thinking skills in a collaborative healthcare environment.

Responsibilities

  • Word processes correspondence and reports, editing grammar, punctuation, or spelling.
  • Prepares, collates, and distributes various reports accurately and in a timely manner.
  • Screens telephone calls and visitors, directing them to the appropriate parties.
  • Provides information requiring knowledge of department responsibilities and company policies.
  • Performs confidential administrative functions, such as typing, proofing, and assembling reports.
  • Coordinates supervisor's and/or department's calendar, including scheduling meetings and appointments.
  • Coordinates meeting and training classes, registration, material preparation, and AV setup.
  • Presents classes and develops meeting/classroom materials.
  • Reconciles related invoices and expenses.
  • Arranges travel and hotel accommodations.
  • Opens and screens mail directed to the supervisor.
  • Composes responses to routine inquiries and delegates appropriate items.
  • Provides clerical and administrative support to department staff, maintaining confidentiality.
  • Maintains supply inventories by checking stock, anticipating needs, and placing orders.

Requirements

  • High school diploma/GED or equivalent working knowledge.
  • Three years of administrative support experience.
  • Ability to follow oral and written directions.
  • Excellent oral, written, and interpersonal communication skills.
  • Working knowledge of personal software packages.
  • Ability to organize, prioritize, and multi-task in a fast-paced environment.
  • Ability to maintain a professional manner.
  • Employees in specific Behavioral Health clinical settings must possess an Arizona Fingerprint Clearance Card at the time of hire and maintain it.
  • An Arizona Criminal History Affidavit must be signed upon hire.
