About the Role
As an Administrative Assistant, you will work closely with leadership, providers, and APPs, managing calendars, and assisting with reimbursements, travel, CMEs, and time cards. This role offers a great opportunity to utilize strong communication and critical thinking skills in a collaborative healthcare environment.
Responsibilities
- Word processes correspondence and reports, editing grammar, punctuation, or spelling.
- Prepares, collates, and distributes various reports accurately and in a timely manner.
- Screens telephone calls and visitors, directing them to the appropriate parties.
- Provides information requiring knowledge of department responsibilities and company policies.
- Performs confidential administrative functions, such as typing, proofing, and assembling reports.
- Coordinates supervisor's and/or department's calendar, including scheduling meetings and appointments.
- Coordinates meeting and training classes, registration, material preparation, and AV setup.
- Presents classes and develops meeting/classroom materials.
- Reconciles related invoices and expenses.
- Arranges travel and hotel accommodations.
- Opens and screens mail directed to the supervisor.
- Composes responses to routine inquiries and delegates appropriate items.
- Provides clerical and administrative support to department staff, maintaining confidentiality.
- Maintains supply inventories by checking stock, anticipating needs, and placing orders.
Requirements
- High school diploma/GED or equivalent working knowledge.
- Three years of administrative support experience.
- Ability to follow oral and written directions.
- Excellent oral, written, and interpersonal communication skills.
- Working knowledge of personal software packages.
- Ability to organize, prioritize, and multi-task in a fast-paced environment.
- Ability to maintain a professional manner.
- Employees in specific Behavioral Health clinical settings must possess an Arizona Fingerprint Clearance Card at the time of hire and maintain it.
- An Arizona Criminal History Affidavit must be signed upon hire.
