About the Role
The Director of Practice Operations directs and administers day-to-day operations of Whitney Young medical clinic operations. This role ensures access to high-quality health care in an efficient and cost-effective manner, supporting the organization's mission.
Responsibilities
- Directs and administers day-to-day operations of clinic facilities.
- Oversees clinical operations, productivity, and efficiency.
- Collaborates with finance for data collection and payment capture.
- Identifies patient healthcare needs and implements tailored care options.
- Ensures economical and efficient performance aligned with strategic goals and budget.
- Develops and implements policies and procedures for high-quality health care services.
- Develops and implements strategic decisions affecting clinical operations.
- Resolves escalated operational issues.
- Increases efficiency of clinical resources and manages capacity based on utilization.
- Develops local clinical operational policies and provides expert advice.
- Ensures effective staff utilization and recommends improvements to support services.
- Makes recommendations for performance improvement and increased patient access.
- Develops practice management protocols, manages daily operations, and oversees provider utilization reporting.
- Ensures financial goals and KPIs align with benchmarks and targets.
- Mentors and coaches teams for problem-solving and productivity.
- Leads and guides the WYH Revenue Cycle Committee.
- Oversees internal and external referral processes.
- Reviews and updates health information policies and procedures.
- Develops and presents training on Health Information policies and procedures.
- Establishes goals for health information functions at each practice location.
- Oversees Release of Information (ROI) process.
- Communicates with program staff to ensure complete and accurate medical records.
- Participates in program audits for medical record integrity.
- Ensures Health Information functions adhere to AHIMA and HIPAA standards.
- Manages processes for handling internal and external mail.
- Provides EHR support, including training, issue resolution, and operational assistance.
- Participates in the Athena Super User workgroup.
- Provides training for new staff on EHR subjects.
- Supports EHR process improvement initiatives.
- Ensures medical records information is complete for audits.
- Assists with the development of location/unit specific goals and outcome measures.
- Interprets and implements organizational goals between management and staff.
- Manages departmental personnel matters, including employment, training, and termination.
- Completes performance evaluations for designated staff.
- Ensures staff competencies through orientation, evaluation, and ongoing education.
- Monitors departmental expenses.
- Monitors staff overtime and staffing patterns for efficiency.
- Ensures direct reports' productivity meets or exceeds standards.
- Updates knowledge of patient delivery models and healthcare management trends.
- Acts as a role model for WYH Policies and Procedures.
- Demonstrates excellence in customer service.
- Communicates HIPAA compliance, corporate compliance, and client confidentiality.
- Ensures compliance with local, state, and federal regulations and accreditation standards.
- Adheres to National Patient Safety Goals.
- Completes other duties as assigned.
Requirements
- Bachelors’ Degree in Health Care Administration or related field or ten (10) or more years of Practice Management experience in an ambulatory care setting.
- Five (5) or more years of managerial or supervisory experience.
- Demonstrates excellent verbal and written communication skills.
- Demonstrates cultural sensitivity and competency related to populations served.
- Advanced skills in MS Office suite.
- Knowledge of EHR platform(s).
- Experience in conflict resolution.
- Prior experience in a community-based healthcare setting.
