About the Role

The Fulfillment Coordinator is responsible for coordinating the daily workflow of the Fulfillment floor to ensure the accurate, efficient, and timely packing of client meal orders. This role prepares the packing area, coordinates inventory availability, communicates order changes and substitutions, oversees labeling and route organization, and supports volunteers and staff throughout the production process. The Fulfillment Coordinator plays a key role in maintaining quality standards, food safety, and operational efficiency while ensuring client orders are completed accurately and on schedule.

Responsibilities

  • Prepare the Fulfillment floor prior to the start of each shift by ensuring all required inventory, supplies, and workstations are organized and ready for volunteers.
  • Communicate daily substitutions, product updates, and packing instructions to volunteers before each packing session.
  • Monitor inventory levels throughout production and replenish meal components and supplies as needed to maintain workflow.
  • Receive, organize, and sort route manifest labels by delivery route, including separating Healthy Start and minced/pureed client orders.
  • Ensure all Healthy Start and other specialty meal orders are completed accurately and prioritized according to production schedules.
  • Provide direction and support to volunteers during packing activities, answering questions and ensuring adherence to established procedures.
  • Monitor quality, accuracy, and food safety standards throughout the packing process.
  • Assists in maintaining the fulfillment room in an organized manner, including any shelf stable food components, thereby creating a positive work environment for staff and volunteers.
  • Cover Fulfillment floor operations as needed during volunteer shift transitions or staff absences.

Requirements

  • High school diploma or equivalent required.
  • Minimum of 2 years of experience in warehouse, fulfillment, food production, logistics, or related operations.
  • Strong organizational, time management, and prioritization skills with the ability to manage multiple tasks effectively.
  • Excellent communication and interpersonal skills.
  • Strong problem-solving and decision-making skills, with the ability to identify and resolve operational issues quickly.
  • Basic computer proficiency, including Microsoft Office applications.
  • Strong leadership skills and collaboration skills, including coordinating teams, partnering across departments, and training and motivating volunteers.
  • Strong attention to detail and commitment to accuracy.
  • Ability to coordinate workflow while maintaining production schedules.
  • Ability to stand and walk for extended periods throughout the workday.
  • Ability to frequently lift and move items weighing up to 50 pounds.
  • Ability to bend, reach, push, pull, and carry materials throughout the facility.
  • Ability to work in refrigerated production and warehouse environments as needed.
  • Demonstrated agility in working in a fast-paced food production and fulfillment environment, including frequent interactions with staff, volunteers, and multiple operational departments.
  • Associates degree.
  • Experience coordinating volunteers or production teams.
  • Knowledge of food safety and sanitation practices.
