About the Role

The Administrative Assistant provides essential administrative support to the Dean of the Faculty Office, with shared responsibilities for the Grants Office. This role is crucial for managing faculty records, appointments, and various administrative tasks, ensuring the smooth operation of academic administration.

Responsibilities

  • Process invoices, track budget-to-actual expenses, and report any budget misalignment.
  • Provide administrative assistance for meetings, calls, and staffing plans, and maintain filing systems and department calendars.
  • Support reception duties, including answering phones, responding to inquiries, managing mail, and maintaining office supplies.
  • Assist with facility and equipment maintenance, communicating updates to relevant parties.
  • Organize events by scheduling, reserving rooms, completing event plans, creating collateral, communicating with vendors and participants, and ordering supplies.
  • Supervise student employees, including posting positions, hiring, training, assigning tasks, providing feedback, and approving timesheets.
  • Communicate effectively with various stakeholders, including department members, vendors, on-campus offices, alumnae/i, and off-campus partners.
  • Perform data entry, maintain electronic faculty personnel files, and generate standard reports.

Requirements

  • A minimum of two years of administrative support or other relevant work experience.
  • Proficiency in Google Suite and Microsoft Office suite.
  • Ability to learn additional technical systems.
  • Strong written and verbal communication skills.
  • Ability to interact effectively with a diverse community.
  • Ability to sit or stand for extended periods.
  • Ability to interact socially with others.
