About the Role
This role is responsible for preparing and reviewing EI, PS & SA Program notes and attendance for billing purposes, ensuring data accuracy, and maintaining confidentiality of sensitive information.
Responsibilities
- Enters data upon receipt of IFSP/IEP and clinician service provision.
- Enters authorization letters (EI/Related Service) data.
- Tracks delivery of mandated program services and reads daily notes weekly.
- Ensures monthly data accuracy and prepares information for billing.
- Follows up with clinicians to correct errors or missing information.
- Downloads notes for office records.
- Sends original notes to Student Records for filing.
- Sends preschool and school-age related signed copies of notes to Student Records.
- Maintains separate folders for preschool notes and Medicaid billing data for audit.
- Serves as a liaison with the MIS department for computer/telephone issues.
- Enters student demographics and mandates in an inactive site, Orion, for database use.
- Enters all related service prescriptions/diagnosis codes in the computer.
- Enters changes of addresses and other updates.
- Maintains confidentiality of children/family information, administrative, and financial functions.
- Fills out and sends discharge summaries/discharge of services to Student Records & Main Office.
- Creates and prints attendance forms, sending copies to the billing department, retaining a copy, and sending originals to Student Records.
- Enters new students into the database, creates student folders, attaches new student notices, and gives them to the Main Office.
- Keeps a student folder in the office for own records.
- Tracks all evaluations and enters them on an Excel tracker spreadsheet.
- Problem-solves with the Clinical Supervisor and creates trackers or other needed forms.
- Sends all evaluation bills to accounting for billing.
- Keeps a tracker of evaluations with timeline, name, date, etc.
- Keeps copies of evaluation bills for EI, PS & SA.
- Meets with the Director of Education & person in the billing department monthly to review evaluation or billing issues.
- Communicates with the billing department via email or phone to resolve billing issues.
- Prepares Medicaid notes for School Districts monthly.
- Mails or uploads notes into the districts' Management system.
- Maintains ongoing communication with Program Director, Assistant Principal, Ed managers, supervisors, and Clinical Coordinators.
- Participates as needed in school events.
- Participates in strategic and long-term planning.
- Represents The Children’s Center on agency/building committees.
- Performs other duties as assigned by the Director of Educational Services/designee.
- Serves as a liaison with the help desk at IEP Direct and Preschool (PS) Portal to assist clinicians with note entry issues.
- Enters all EI billing claims in the NYEIS System and follows up on issues.
- Sends Provider Agreement and Statement of Reassignment to School Districts and answers inquiries to assist with Medicaid Billing.
- Creates listings in IEP Direct to assist the Clinical Supervisor and Accounting Department with tracking services.
- Responds to County requests for Medicaid Documentation by uploading or mailing documents to assist with Medicaid Billing.
- Completes quarterly Safety Checks for designated rooms.
- Helps facilitate fire drills and all building safety drills.
- Scans and uploads Medicaid consents and prescriptions into the Preschool Portal.
- Performs other duties assigned by Director of Educational Services/Principal or designee.
Requirements
- High school diploma or general education degree (GED) required.
- One to three months related experience and/or training required.
- Basic to intermediate knowledge of Microsoft Office software (Word, Outlook, Excel) required.
- Verbal and written communication skills necessary for effective communication required.
- Experience in a business and/or office environment is helpful.
