About the Role
UTA is seeking an Assistant to support two Creator Agents working with clients in audio and digital media. The role requires previous experience in a similar industry and the ability to thrive in a fast-paced environment.
Responsibilities
- Manage inbox efficiently, in a timely and proactive manner.
- Schedule meetings and agendas for agents, preparing logistics and documentation.
- Proactively resolve inquiries or escalate as appropriate.
- Manage and submit agent expenses and accounting.
- Coordinate agent travel and accommodations.
- Provide cover for agents when they are away.
- Answer phones, transfer calls, take messages, and cover desks.
- Process invoices, track client payments, submit client expenses, and perform other accounting tasks.
- Maintain client and business contact details, sending terms of business.
- Build and maintain relationships with production companies and business contacts.
- Attend live client events as required.
- Listen to podcasts and discuss observations with colleagues.
- Submit material and follow up on proposals.
- Set up and coordinate meetings for the agent and clients.
- Support the agent in updating client materials.
- Assist management with immigration needs, including forms and passport copies.
Requirements
- Previous experience within the entertainment industry (audio, digital, marketing) is desired.
- Pre-existing knowledge and interest in podcasts, social media, and the US market.
- General understanding of the entertainment industry and talent agency operations.
- Excellent verbal and written communication skills.
- Excellent organizational skills.
- Familiarity with Microsoft products (Outlook, Word, Excel).
- High level of accuracy and attention to detail.
- Discretion when dealing with sensitive client matters.
- Experience using social media platforms.
- Ability to prioritize a busy workload.
- Ability to develop and maintain strong business relationships.
