About the Role
Knight Frank is seeking an experienced Operations Coordinator to support the Building Consultancy team in London. This role involves coordinating team operations, enhancing efficiencies, and providing high-level stakeholder support, encompassing executive support, business coordination, financial administration, process improvement, and project coordination.
Responsibilities
- Provide proactive diary and inbox management for senior stakeholders.
- Coordinate internal and external meetings, conference calls, client engagements, and team activities.
- Prepare presentations, reports, meeting packs, and client-facing documentation.
- Organize UK business travel and logistics.
- Manage meeting actions, correspondence, and administrative documentation.
- Support the Head of Building Surveying and leadership team with daily operational needs.
- Act as an ambassador for the Building Consultancy team.
- Coordinate business planning activities and support operational objectives.
- Manage financial administration, including client invoicing, expense coordination, supplier invoices, and referral tracking.
- Support WIP reconciliation and billed/unbilled debtor coordination.
- Build strong relationships with clients, stakeholders, and colleagues.
- Coordinate team meetings, record actions, and ensure follow-up.
- Support onboarding, inductions, leavers, and intern/work experience programs.
- Maintain training records, CPD logs, absence records, and performance review processes.
- Coordinate team schedules, conferences, away days, and business activities.
- Liaise with IT teams for system access, upgrades, and data accuracy.
- Identify opportunities to improve team processes and operational efficiency.
- Support operational processes for a streamlined and efficient service.
- Coordinate compliance, audit, and information security activities.
- Maintain accurate client and team records across Knight Frank systems.
- Support facilities coordination and business continuity requirements.
- Act as a key point of contact for governance, risk, and best practice initiatives.
- Coordinate marketing materials, presentations, and capability statements.
- Support business development activity, pitches, and client proposals.
- Manage internal and external events from planning to delivery.
- Produce invitations, manage attendee lists, and coordinate event logistics.
- Liaise with marketing teams to support communications and social media activity.
Requirements
- 5+ years of experience in an Operations Coordinator, Team Coordinator, Business Support, Executive Assistant, or similar role.
- Excellent organizational and coordination skills.
- Strong communication and stakeholder management abilities.
- High attention to detail, especially with financial information.
- Advanced Microsoft Office skills (Word, Excel, PowerPoint).
- Experience managing multiple priorities in a fast-paced environment.
- Proactive, solutions-focused, and comfortable working independently.
- Experience within property, real estate, consultancy, or professional services environments (desirable).
- Exposure to financial administration, compliance, governance, or process improvement activities (desirable).
