About the Role
As a Sales Assistant, you will be the backbone of our sales department, ensuring seamless day-to-day operations and exceptional client experiences. This role is perfect for someone who loves problem-solving, building relationships, and keeping everything running smoothly behind the scenes. You'll work closely with our sales team, clients, and internal departments to ensure advertising schedules are executed flawlessly and clients receive outstanding service every step of the way.
Responsibilities
- Contact clients regarding ad materials, pricing, billing, or special upsell opportunities.
- Input ads into the ad order system.
- Assist in collecting and composing ad copy, maintaining account base, and ensuring high customer service.
- Work closely with order entry, traffic, and layout to ensure clients' advertising schedules are met.
- Calculate and communicate rate packages to clients and prospects.
- Assist the Sales Manager on special project details, including production schedule, rate authorization, and communication.
- Facilitate and process sales presentations.
- Generate sales reports.
- Identify and correct billing errors or issues before the end of the month.
- Input client billing adjustments within the same month as a dispute is identified.
- Attend sales training and planning meetings.
- Research and troubleshoot account problems to develop satisfactory conclusions for the property and customer needs.
- Handle daily general clerical functions such as filing, answering phones, creating correspondence, and calculating rates to quote to customers.
- Arrange and distribute various advertising materials and sales reports to the proper areas in a timely manner.
- Provide exemplary customer assistance.
- Adhere to company policy and assigned standards of performance.
- Perform other duties as assigned.
Requirements
- High school diploma or equivalent required.
- Generally 2+ years of experience in administrative or sales support or a related field preferred.
Skills
- Strong customer service skills
- Ability to read, analyze, and interpret sales demographics information and creative layouts
- Ability to generate reports, business correspondence, and presentations
- Strong communication skills and the capability to effectively respond to questions from managers, colleagues, and customers
- Ability to calculate figures related to advertising rate packages
- Proficient use of Microsoft Office (Excel, Word, Outlook)
- Ability to learn new software programs such as ad order entry and customer relations management software
- Good organizational skills and the ability to meet deadlines
- Ability to communicate and work as a team player both internally and externally
