About the Role
As a Service Project Coordinator, you will ensure customer projects move smoothly from planning through successful deployment by maintaining communication between Sales, Service, and Customer teams. This customer-facing role involves coordinating project activities, organizing documentation, monitoring timelines, and removing roadblocks. You will work with technical experts, account managers, and customers to keep everyone aligned while developing skills for a career in technical project management and operations.
Responsibilities
- Coordinate communication between Sales, Service, and Customer project teams to ensure alignment on project scope, timelines, and deliverables.
- Capture detailed meeting notes and convert discussions into clear action items, responsibilities, and follow-up tasks.
- Collaborate with internal stakeholders to develop project plans, schedules, and resource requirements.
- Assist with planning and coordinating logistics for customer deployments, including multi-site implementations.
- Monitor project schedules, milestones, material orders, and task completion to keep projects on track.
- Maintain accurate project documentation and ensure information remains organized and up to date.
- Respond to routine project inquiries regarding timelines, documentation, project scope, and available resources.
- Identify project risks or delays, engage the appropriate stakeholders, and help develop practical solutions.
- Gather project updates from team members and maintain master project documentation and status reports.
- Maintain consistent communication with customers and internal subject matter experts throughout the project lifecycle.
- Assist in evaluating bids and supporting the preparation of technical proposals.
- Take ownership of customer projects while developing technical project coordination and leadership skills through mentorship.
Requirements
- Post-secondary education in Business, Technology, Engineering, Project Management, or a related discipline, or an equivalent combination of education and relevant experience.
- Demonstrated experience coordinating projects, stakeholders, timelines, and deliverables within a professional environment.
- Experience working in customer-facing, technical, operational, service, or project-based roles.
- Proven ability to manage multiple priorities while maintaining exceptional attention to detail.
- Eligible to work in Canada.
- Ability to work full-time on-site in Sydney, NS.
- Willingness to travel occasionally to support customer deployments.

- Familiarity with project management software such as Microsoft Project, Asana, Monday.com, Jira, or similar tools.
- CAPM certification or coursework in Project Management.

Salary/Compensations
- $56,000 to $80,000 CAD
