About the Role

The Director of Operations supervises day-to-day operations in purchasing, facilities management, and coordinates other administrative and system operations. This role provides direct supervision of the purchasing team and administrative staff, ensuring an environment of trauma-informed care that reflects CCFCS values.

Responsibilities

  • Assist in the development, implementation, and monitoring of policies and procedures in purchasing, facilities management, and other administrative functions.
  • Serve as an active member of the management team in planning, problem-solving, and ongoing communication for purchasing, operations, and related functions.
  • Provide supervision, guidance, and execute duties common to all supervisory positions, including regular meetings with direct reports, completing annual performance appraisals, and monitoring performance with feedback.
  • Participate in hiring, onboarding, retention, coaching, progressive discipline, and separation activities in coordination with Human Resources.
  • Develop, implement, and maintain budgets for residential sites and capital improvement projects.
  • Serve as project manager for various administrative projects, ensuring they are within scope, timeline, and budget limits for facility improvements and transitions.
  • Oversee purchasing to ensure materials are ordered, projects are designed and planned, and funds are available within project limits.
  • Serve as lead administrator for facilities and work order management systems.
  • Coordinate purchasing processes, system tracking, and approval workflows in coordination with the finance team.
  • Coordinate, monitor, and communicate the status of work orders and purchasing requests.
  • Facilitate contract bids and requests for proposals to ensure regulatory compliance and quality pricing.
  • Complete and maintain WMBE, Vendor Responsibility, and other documentation as required by funding sources in coordination with program and finance.
  • Assist with the procurement process, contracts, and ongoing communication with vendors and contractors.
  • Coordinate inventory management, tracking, and accountability for agency assets, including depreciation tracking and updates for program budgets.
  • Complete internal and external reporting requirements for facilities, purchasing, and other administrative duties.
  • Ensure all sites have standardized safety schedules, supplies, and materials in coordination with maintenance and safety leadership.
  • Maintain current knowledge in the field of purchasing, facilities management, and general operations.
  • Pursue development of professional competencies through reading, supervision, in-service training, and attendance at conferences and workshops.
  • Participate in relevant Agency meetings and/or trainings.
  • Support and foster the Agency's Mission, Vision, Values, and Strategic Plan.
  • Perform other duties as assigned.

Requirements

  • At least 5 years of experience in Purchasing, Facilities and/or Operations Management.
  • Experience in Project Management.
  • Bachelor’s degree in a related field preferred; equivalent combination of education and experience will be considered.
  • Valid and clean NYS Driver’s License.
  • CPM, CPSM, or PMP preferred.
  • Adheres to all applicable federal and state laws and regulations.
  • Performs all duties in accordance with CCFCS’s corporate compliance & ethics program.
  • Must successfully complete a background check.
