About the Role
This role provides day-to-day administrative support to the Executive Assistant to the Founder of Inspired Education. It's an opportunity to build a career in executive support, working closely with the Chief of Staff to ensure smooth running of executive priorities and gaining exposure to senior leaders. The role is varied and fast-paced, assisting with diary management, international travel, meetings, events, projects, and business administration.
Responsibilities
- Provide day-to-day administrative support to the Executive Assistant to the Founder, helping manage priorities and ensuring the smooth running of executive activities.
- Support the management of a complex diary across multiple international time zones, coordinating meetings and resolving scheduling conflicts.
- Assist with coordinating international travel arrangements, including flights, accommodation, visas, transfers and detailed itineraries.
- Track actions arising from meetings and assist with following up on key deliverables and deadlines.
- Provide flexible administrative support, adapting to changing business priorities and ad hoc requests both personal and professional.
- Provide administrative support across a broad range of business and personal matters, recognising that the role supports the dynamic requirements of the Founder through the Chief of Staff.
- Assist with the administration and coordination of the Founder's global property portfolio, including liaising with property managers, suppliers, contractors and service providers, coordinating maintenance schedules and maintaining accurate records.
- Coordinate property-related travel, access arrangements, deliveries and logistics across multiple international locations.
- Support personal administrative requests, including bookings, reservations, appointments, gifting and other lifestyle-related tasks, always maintaining the highest levels of discretion and professionalism.
- Assist with researching, sourcing and coordinating a variety of business and personal projects, presenting information in a clear and organised manner.
- Liaise confidently with a diverse range of internal and external stakeholders, including senior executives, advisors, suppliers, household staff and professional service providers.
- Monitor and progress a variety of concurrent workstreams, ensuring actions are followed up and completed within agreed timeframes.
- Anticipate administrative needs by taking a proactive approach to planning, organisation and problem solving.
- Be prepared to support a wide variety of ad hoc requests, adapting quickly to changing priorities in a fast-paced international environment where no two days are the same.
Requirements
- Previous experience in an administrative, coordinator or team support position.
- Naturally organised, enjoy helping others succeed and take pride in delivering high-quality work.
- Comfortable juggling multiple priorities, remain calm under pressure and have a positive, can-do attitude.
- Eager to learn, willing to get involved and excited by the opportunity to work in a global organisation supporting senior leadership.
- Previous experience in an administrative, Team Assistant, Personal Assistant or coordinator role.
- Excellent organisational and time management skills, with the ability to prioritise competing demands.
- Strong attention to detail and a commitment to delivering accurate, high-quality work.
- Excellent written and verbal communication skills.
- Professional, confident and approachable, with strong interpersonal skills.
- Proficient in Microsoft Office, particularly Outlook, Word, Excel and PowerPoint.
- Experience coordinating travel, meetings or events would be advantageous.
- Experience processing expenses and reconciling company credit cards is desirable.
- Experience using travel management platforms such as Egencia or similar would be beneficial.
- A proactive, solutions-focused approach with the confidence to use initiative and anticipate needs.
- A flexible mindset with the ability to adapt to changing priorities in a fast-paced environment.
