About the Role

KPMG is seeking an Executive Assistant to provide comprehensive support on a range of activities, ensuring a high-quality product and client service excellence within the Client Administration function.

Responsibilities

  • Professionally interact with clients, action client communications, and respond in a timely fashion.
  • Independently action routine client inquiries and escalate complex issues.
  • Monitor Partner's email inbox, flagging and prioritizing emails based on urgency and subject matter.
  • Proactively manage the Partner's calendar, coordinating schedules and resolving potential conflicts.
  • Onboard new clients and update existing client entities in the internal database.
  • Take responsibility for Partners' contact management.
  • Collaborate with the internal marketing team for client proposals, RFPs, email distribution, and client event communications.
  • Coordinate and manage Risk Management workflows and approvals for client/engagement acceptance.
  • Create, proofread, and distribute various communications on behalf of the Partners.
  • Handle routine communications on behalf of Partners and report on actions taken.
  • Coordinate scheduling for internal and external client meetings, leadership meetings, and events, including logistics, catering, and RSVPs.
  • Compile, transcribe, and distribute meeting minutes and follow up on action items.
  • Handle domestic and internal travel arrangements and reservations, including business visas.
  • Book hotel accommodations, car rentals/services, and restaurant reservations.
  • Complete, reconcile, and ensure timely submission of time and expense reports for the Partner.
  • Assist with onboarding and offboarding activities for new full-time and contract staff, coordinating hardware/software resources.
  • Manage space and office/workstation assignments for the group.
  • Initiate and code invoices for external vendors using Coupa.
  • Develop and maintain strong relationships with Partners to anticipate needs and provide proactive support.
  • Oversee, supervise, and support the administrative team, including performance management, training, and process implementation.

Requirements

  • College diploma or equivalent combination of education/experience in administrative assistant skill set.
  • Minimum 5 years of administration experience.
  • Good judgment and analytical skills.
  • Excellent written and communication skills.
  • Superior organization skills.
  • Strong interpersonal and relationship management skills.
  • Ability to work as part of a wider team, as well as individually.
  • Ability to exercise judgment, diplomacy, and tact.
  • Display business and political acumen in dealing with varied day-to-day challenges.
  • Client-first mentality.
  • Ability to provide a high-quality client experience with timely and professional responses.
  • Effective multi-tasking in a high-pressure environment.
