About the Role

Responsible for handling and dispatching all mail, packages, and interoffice correspondence. Manages mail operations, including routing, pick-up, and delivery, and participates in other assigned tasks.

Responsibilities

  • Receive, sort, and deliver all incoming mail and packages within established time frames.
  • Weigh, affix postage, and dispatch outgoing mail and packages according to postal regulations.
  • Prepare and process outgoing overnight items (e.g., Federal Express, UPS) to meet deadlines.
  • Log outgoing and incoming items and review for accuracy.
  • Organize and distribute supplies based on job requests and verify orders upon delivery.
  • Monitor inventory of copy supplies, stock paper, and toner, and maintain the supply area.
  • Handle items for distribution to client employees, affiliates, and dealers.
  • Estimate runtime for photocopy jobs, check copies for quality and accuracy, and produce bound copies when requested.
  • Perform minor maintenance on photocopy machines, such as clearing paper jams and routine cleaning.
  • Operate facsimile machines, send and receive faxes, and maintain logs.
  • Input facsimile data into the computer for client charge back and generate activity reports.
  • Prepare monthly production and volume reports for productivity measurement and billing.
  • Set up and maintain kitchen areas and conference rooms, order food, and make coffee.
  • Provide reception work, including answering telephones, taking messages, and greeting visitors.
  • Move boxes, supplies, or furniture, and replace light bulbs.
  • Perform document scanning.
  • Prepare outgoing items for shipping.
  • Learn new features and functionalities of copying machines, faxes, scanning, and shipping equipment.

Requirements

  • High school diploma or equivalent.
  • Ability to perform, or readily learn, routine functions of various equipment and systems (fax, scanner, metering, stamping tracking systems, photocopying, color copying, etc.).
  • Excellent customer service, professional attitude, and appearance.
  • Ability to work overtime and meet deadlines.
  • Physical activity required including bending, reaching, lifting, and prolonged periods of sitting or standing.
  • May lift and/or move up to 50 lbs.

Skills

  • Some computer skills preferred.
