About the Role
The College of Early Childhood Educators is seeking an Intake Coordinator to join their Expedited Case Processing Team. This role is responsible for the intake and triage of complaints and reports related to professional regulation matters, involving information gathering, assessment, and initial risk identification to ensure timely and effective case processing.
Responsibilities
- Review information in accordance with Unit protocols.
- Identify regulatory issues and risk, and matters for possible informal resolution.
- Follow-up with employers, complainants, the Ministry of Education, Police, Children’s Aid Societies, courts and other parties to obtain necessary information.
- Prepare concise summaries of the initiating documents for the Manager’s review and consideration.
- Follow next steps as directed by the Manager.
- Draft required correspondence and notifications (e.g. notice of delay letters, notifications to employers).
- Ensure all personal information included in notifications is redacted as appropriate/required to maintain confidentiality.
- Perform case management activities including: closing files, managing receipt of case documents, creating and organizing electronic files, updating the case management system.
- Assist with preparing reports on trends and emerging issues.
- Keep up-to-date with applicable legislation, trends and practices.
- Other duties as assigned.
Requirements
- Two-year college program.
- 1 to 3 years’ experience in a regulatory setting.
- Knowledge of the Early Childhood Educators Act, 2007, the Ontario Childcare system, and/or education.
- Flexibility to work well independently and in a team in an environment with changing priorities.
- Written communication skills to prepare detailed and accurate case summaries and documentation (e.g. disclosure, notifications).
- Listening, verbal communication and relationship building skills to communicate with a variety of parties (e.g. courts, Police, complainants, employers) to collect and provide information related to professional regulation matters.
- Resilience, tact and diplomacy to communicate with occasionally irate and frustrated individuals (e.g. members, complainants) on sensitive matters (e.g. complaints, licensing issues) in a respectful and culturally appropriate manner.
- Professional judgment to ensure that information disclosed is appropriate and to maintain neutrality towards all cases/ issues encountered in the role.
- Time management and attention to detail to prepare accurate summaries of case files and ensure that all disclosure/case documentation is completed within required timelines.
