About the Role
The Scheduling Assistant to the Commissioner supports the day-to-day operations of the Commissioner’s Office, ensuring effective coordination of priorities, information, and activities across the agency. This role is a key coordination point for communication and serves as a pivotal member of the executive team.
Responsibilities
- Answering, screening, or forwarding calls, providing information, taking messages, or scheduling appointments
- Determining the nature and purpose of meetings and directing or escorting visitors
- Preparing meeting agendas and collecting briefings at least 24 hours in advance
- Processing and preparing memos, correspondence, travel vouchers, or other documents
- Monitoring and tracking the Commissioner’s incoming calls, managing messages, and returning calls
- Optimizing scheduling to prevent double booking and resolve time conflicts for leadership
- Managing meeting cancellations and notifications
- Keeping drivers updated on meeting locations and ensuring their contact information is on the calendar
- Coordinating logistics for committee, board, and other meetings for the Commissioner and executive leadership
- Partnering with the communications team to schedule radio and television press interviews
- Serving as the primary point of contact for the Commissioner’s Office for internal and external communication
Requirements
- A baccalaureate degree from an accredited college and two years of experience in community work or community-centered activities related to the duties described
- High school graduation or equivalent and six years of experience in community work or community-centered activities related to the duties described
- Equivalent education and/or experience to the above, with at least one year of experience as described in the first point
