About the Role
We are seeking an Office & Reception Coordinator to be the face of our London office, creating an exceptional experience for everyone. This role involves managing the day-to-day running of the office, ensuring a welcoming environment, and solving practical problems to support our mission of recognising talent regardless of background.
Responsibilities
- Providing a warm, professional welcome to clients, candidates and colleagues.
- Managing reception, meeting rooms and shared spaces, ensuring they are organised and presentation-ready.
- Coordinating meeting room bookings, catering and AV set-up.
- Managing incoming calls, post, deliveries and visitor enquiries.
- Supporting colleagues with day-to-day administrative tasks.
- Helping to deliver company events.
- Taking ownership of day-to-day facilities issues and resolving them.
- Working with building management, contractors and cleaning teams to maintain the office environment.
- Monitoring and replenishing office supplies, refreshments and stationery.
- Supporting the set-up of workstations and equipment for new starters.
- Assisting with health and safety activities, including acting as a Fire Marshal.
- Continually looking for ways to improve the workplace experience.
Requirements
- Experience in a reception, front-of-house, workplace, hospitality or office support role.
- Naturally warm, approachable and professional communication style.
- Strong organisational skills and ability to manage multiple priorities.
- Proactive mindset, taking ownership and spotting what needs doing.
- Confidence solving practical problems and coordinating solutions.
- High attention to detail and pride in maintaining high standards.
- Good working knowledge of Microsoft Office, particularly Outlook.
- Flexibility and willingness to support wherever needed.
- Belief that no task is too small to create a better experience for someone else.
- Pride in work, thinking beyond tasks, and looking for improvements.
