About the Role
Wayve is seeking a highly organised and proactive Office Manager to oversee the daily operations of its London locations. This hands-on, people-facing role is crucial for maintaining a smooth-running, welcoming environment and supporting the company's growth.
Responsibilities
- Manage day-to-day office operations, ensuring a safe, efficient, and welcoming workplace.
- Lead the Reception team, including performance management, scheduling, and service standards.
- Maintain office cleanliness, organization, and stock levels.
- Manage office supplies, refreshments, and consumables.
- Coordinate deliveries, post, courier services, and general office logistics.
- Liaise with building management, cleaning teams, and external suppliers.
- Prepare meeting rooms for internal and external meetings.
- Coordinate catering, room setup, and hospitality for meetings and events.
- Ensure a seamless visitor experience.
- Support leadership meetings and customer engagements.
- Plan and coordinate office events, celebrations, and social activities.
- Support company-wide events and workplace initiatives.
- Collaborate with the wider Workplace team to create an engaging office environment.
- Act as a visible, approachable, and trusted point of contact for colleagues.
- Coordinate contractors and service providers working in the office.
- Manage and track maintenance requests.
- Support workplace improvement projects and office moves.
- Build strong relationships with suppliers.
- Support compliance with health and safety requirements.
- Conduct routine workplace inspections and safety checks.
- Assist with fire safety, first aid, and emergency preparedness.
- Maintain workplace records and report issues.
- Prepare desks, lockers, access passes, and welcome items for new hires.
- Manage office access, lockers, and workplace resources.
- Maintain workplace documentation and records.
- Provide administrative support to the Workplace team.
Requirements
- Previous experience managing a busy office, ideally in a fast-paced technology or scaling business.
- Experience leading or supervising a Reception or Front of House team.
- Highly organised with excellent attention to detail.
- Proactive, hands-on approach with the ability to manage multiple priorities.
- Excellent communication and relationship-building skills.
- Passionate about delivering an outstanding workplace and visitor experience.
- Comfortable working independently while collaborating with cross-functional teams.
- Experience managing suppliers and contractors.
- Confident using Google Workspace and workplace management tools.
- A positive, friendly attitude with a genuine desire to help others.
