About the Role
Join Rose Associates as a leader in our institutional real estate property management team, where you will shape exceptional living experiences for residents and deliver outstanding results for clients. You will oversee the operations of a large residential portfolio, blending strategic leadership with hands-on problem-solving to ensure properties operate at peak performance.
Responsibilities
- Build strong client relationships by ensuring consistent communication and exceptional service.
- Serve as the primary point of contact for residents, addressing concerns promptly to enhance the living experience.
- Lead day-to-day property operations, ensuring compliance with company policies, leases, and management agreements.
- Oversee vendor relationships and service contracts, including handling bidding, negotiation, and performance management for all building services.
- Manage property maintenance, capital improvements, and ensure timely repairs, including preventive maintenance programs.
- Conduct regular property inspections to maintain high standards for building systems, common areas, and amenities.
- Coordinate all resident-related processes, including new leases, renewals, terminations, and subleases.
- Respond to building emergencies 24/7, mobilizing resources and guiding corrective actions.
- Drive resident satisfaction by ensuring service requests are logged, resolved, and communicated effectively.
- Collaborate with internal teams, including HR, Accounting, Leasing, Compliance, and others to achieve property and client goals.
- Prepare and manage operating budgets, forecasts, and variance reports; track income/expenses and control costs.
- Monitor and process vendor invoices, maintain accurate financial records, and resolve discrepancies.
- Ensure properties comply with insurance, safety standards, audits, and inspections, taking corrective action as needed.
- Identify process improvements and lead implementation of new policies and internal controls when needed.
- Be present on-site and able to move throughout the buildings to address community-related matters, with exceptional communication skills to meet with tenants, staff, vendors and visitors.
- Travel between the main office and site locations within the portfolio and be able to ascend and descend stairs, including comfortability with exposure to varying environmental climates and circumstances.
- Perform duties outside their normal responsibilities as needed.
Requirements
- A minimum of 8 years managing large residential properties (500+ units) or portfolios.
- Strong knowledge of building systems, operations, and NYC rental regulations; experience overseeing maintenance and capital projects.
- Skilled in budgeting, financial reporting, and applying GAAP principles in real estate operations.
- Demonstrated ability to lead teams, foster trust, delegate effectively, and develop staff for future success.
- Build strong relationships with owners, residents, vendors, and teams through clear, empathetic, and consistent communication.
- Handle complex issues with diplomacy and professionalism; remains calm under pressure and flexible in dynamic situations.
- Prioritize tasks effectively, overcomes obstacles, and delivers outcomes on time.
- Proficiency navigating computers, including property management platforms such as Yardi, On-Site, and Microsoft Office Suite.
- Experience in financial reporting, budgeting, and applying GAAP principles in real estate operations.
- Willingness to travel between office locations and property sites regularly; ability to physically navigate institutional properties and attend meetings with site teams, residents, and ownership.
