About the Role

Looking for a detail-oriented and driven Surgical Scheduling Coordinator to join our large orthopaedic private practice team in the New York, Financial District. In this critical role, you'll be the backbone of our surgical scheduling operations — ensuring seamless coordination between patients, surgeons, vendors and medical facilities. Responsibilities

  • Coordinate and schedule surgical procedures, pre-op appointments, and post-op follow-ups with patients and surgical facilities.
  • Serve as the primary point of contact for patients throughout the surgical process, providing clear communication and support.
  • Obtain prior authorizations and insurance pre-certifications for surgical procedures.
  • Maintain and monitor physicians' surgical scheduling at multiple OR sites.
  • Collaborate closely with orthopedic surgeons, OR staff, and hospital/ASC teams to ensure smooth surgical scheduling.
  • Prepare and manage surgical paperwork, operative reports, and patient medical records.
  • Set up and follow-up with medical clearance appointments.
  • Work with vendors to arrange required OR equipment for procedures.
  • Verify patient insurance benefits and communicate financial responsibilities as needed.
  • Maintain accurate scheduling logs and ensure compliance with all regulatory and facility requirements.

Requirements

  • Surgical Scheduling experience.
  • Prior experience in orthopedics or a surgical specialty strongly preferred.
  • Proficiency with EPIC Electronic Health Records (EHR) systems.
  • Strong knowledge of insurance authorization processes and medical terminology including CPT codes.
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
  • Outstanding communication and interpersonal skills with a patient-first mindset.
