About the Role

Dominican University New York seeks a full-time Procurement Specialist to collaborate with the Director of Purchasing on all procurement processes, including bid development and management, product research, pricing, and new vendor research. This role involves advising community members on purchasing policies and procedures to ensure the acquisition of quality goods and services at the best value.

Responsibilities

  • Review departmental requisitions for policy compliance, resolve issues with requestors, and submit for approval.
  • Process purchase requisitions into purchase orders, ensuring timely vendor information and policy compliance; provide quotes as requested.
  • Prepare RFPs/Qs according to policy; prepare Bid Evaluations for review and discussion.
  • Maintain expert knowledge of purchasing systems (CRM, Jenzabar) and assist other departments.
  • Monitor and maintain RFP/Q log and digital quote filing system.
  • Manage existing contracts for copiers, car rentals, business cards, laundry equipment, and consulting agreements.
  • Respond to end-user inquiries regarding policies, procedures, specifications, and pricing.
  • Prepare various written materials documenting purchasing activities.
  • Finalize and close open POs for year-end closing; assist Controller and AP office with closing process issues.
  • Support the Director with commencement, facilities, dining, mailroom, and fleet management.
  • Support University grant proposal generation and post-award activities.
  • Perform price comparisons for non-quote orders and confirm fund availability.
  • Back up the Director during their absence, addressing issues affecting timelines.
  • Perform Mailroom duties, including training student workers on the Pitney Bowes Tracking System and inventory procedures.
  • Train stakeholders on the proper usage of the EFLEET rental portal.
  • Assist faculty and staff with grant travel using University procedures and credit card payments.
  • Perform other duties as assigned.

Requirements

  • Bachelor’s Degree or 5 years of combined education and experience.
  • Knowledge of Microsoft software (Excel, Word, Outlook) and supporting programs.
  • Ability to efficiently organize and manage workload.
  • Excellent verbal and writing skills.
  • At least two years of procurement experience.
