About the Role
The Associate, Convention Sales provides intensive administrative support to Convention Sales Managers/Directors and contributes as part of a team with ultimate responsibility to the Division. The individual must be capable of working with others, taking direction, and exhibiting flexibility when divisional projects take precedence over daily workload.
Responsibilities
- Perform data entry for Salesforce contacts, accounts, sales leads, bookings, lost business reports, purchase orders, work orders, expense reports, letters, and check requests.
- Provide primary phone coverage for sales managers and secondary coverage for the division.
- Maintain organization of Salesforce opportunities, accounts, and bulletins for sales managers.
- Distribute division mail as assigned.
- Monitor the Convention Sales inbox and assign/distribute emails and sales leads, including CVENT leads.
- Distribute sales leads and revisions daily to hotels and venues and follow up as necessary for responses.
- Develop relationships with key hotel contacts to enhance response time to leads and other requests.
- Prepare SF Travel city proposals, including utilization of the Map Tool, to present to organizations for bidding on future conventions.
- Assist Managers with client communication support.
- Manage mailings and gifts, including wrapping.
- Drop off amenities at hotels as needed.
- Assist Convention Services with pre-promotion for future conventions.
- Provide back-up to staff in San Francisco booths during tradeshows/conventions, with potential travel.
- Assist and participate in client sales calls and/or presentations.
- Assist with planning and executing client events.
- Assist with special projects and/or Salesforce reports for assigned Convention Sales Managers.
- Coordinate and produce itineraries for site visits, and assist in their planning and execution.
- Monitor assigned inventory of brochures, supplies, and promotional items, and process orders as needed.
- Assist with servicing meeting planners' needs and provide suggestions, involving knowledge of San Francisco and members.
- Assist division sales assistants as needed.
- Participate in and attend SF Travel sponsored member events.
- Perform other duties as assigned.
Requirements
- Education and/or training equivalent to college graduate.
- 2+ years related experience in secretarial and administrative duties.
- Ability to work independently with minimal oversight.
- Ability to handle multiple priorities and meet deadlines while being detail oriented.

Salary/Compensations
- $70,000–$85,000 base compensation annually
- Additional opportunity for annual incentive compensation based on performance and organizational results
