About the Role

The Executive Assistant will provide organizational support to senior executive leaders in Investment Banking. This role requires a solutions-oriented attitude, strong relationship-building skills, and the ability to manage multiple tasks in a fast-paced environment.

Responsibilities

  • Maintain schedule/calendar of key activities and ensure key business critical dates are met.
  • Prioritize and triage as needed.
  • Exhibit initiative and follow-through to assist bankers.
  • Identify areas where assistance can be provided and pursue the opportunity.
  • Communicate the status of key deliverables on a timely basis.
  • Perform administrative tasks including coordination of calendar/meeting arrangements, setting up conference calls, travel arrangements, restaurant reservations, and catering.
  • Prepare, track, and manage expense reports.
  • Review and process email requests for approval daily.
  • Maintain organized digital and paper filing systems.
  • Update Vacation and Absence records.
  • Act as backup to other department staff members as needed.
  • Participate in special projects as requested.

Requirements

  • Secondary education and minimum 5+ years of experience as an executive assistant supporting senior executives in a professional services environment.
  • Strong verbal and written communication skills.
  • Proactive, solutions-oriented mindset with the ability to anticipate needs.
  • Ability to partner effectively with key stakeholders and build strong collaborative relationships.
  • Demonstrate ownership and execution of primary responsibilities.
  • Outstanding time management skills, diplomacy, and a positive attitude.
  • Ability to maintain consistent and high levels of performance.
  • Enjoy working in a time-sensitive, fast-paced environment.
  • Capable of multi-tasking and adapting to changing needs.
  • Experience working on highly confidential projects with discretion and sensitivity.
  • Strong working knowledge of Word, Excel, PowerPoint, and Outlook.
  • Experience in the Capital Markets industry is preferred.
