About the Role

The Executive Assistant will provide high-level administrative and operational support to the Creative Director, ensuring seamless day-to-day execution, effective calendar and meeting management, expense oversight, and coordination of special projects. This role requires a proactive, highly organized individual who can anticipate needs, manage competing priorities, and operate with discretion in a fast-paced creative environment.

Responsibilities

  • Manage the Creative Director’s calendar, prioritizing key meetings, optimizing schedules, and coordinating across internal teams and external partners.
  • Build and maintain strong relationships with internal administrative staff, cross-functional teams, vendors, and external stakeholders to facilitate scheduling and execution of meetings.
  • Coordinate all logistics for in-person and virtual meetings, including agenda development, room bookings, materials preparation, and catering arrangements.
  • Provide basic technical support as needed, including submission of IT requests and troubleshooting of remote or meeting-related issues.
  • Administer Microsoft Teams channels, including creation, updates, and ongoing maintenance to support team collaboration.
  • Oversee travel and expense administration, including monitoring budgets, exercising discretion in line with company policy, and ensuring responsible spend management.
  • Prepare, submit, and reconcile travel and expense reports and corporate card statements in compliance with company policies.
  • Manage the department’s purchasing and procurement process (Buying Hub), including supplier onboarding, purchase order creation, and invoice tracking.
  • Serve as a liaison across departments on behalf of the Creative Director and team, resolving inquiries and facilitating issue resolution.
  • Support team culture by organizing celebrations, milestone moments, and engagement activities that foster a positive and connected environment.
  • Lead and support departmental programming and special projects from planning through execution and evaluation, including developing project plans, timelines, and budgets.
  • Build and manage project teams, coordinate resources, and develop detailed schedules and work plans to ensure alignment with priorities and deadlines.
  • Monitor project progress, track deliverables, and provide status updates to stakeholders while maintaining quality control throughout the project lifecycle.
  • Draft and prepare correspondence, presentations, agendas, reports, and other executive-level materials as needed.

Requirements

  • Minimum 10 years of experience required, preference in fashion/administrative field
  • Bachelor's Degree or equivalent combination of education and experience will be considered
  • Strong Outlook Calendar experience.
  • Proficient in Microsoft Word, Excel, PowerPoint; Mac knowledge preferred
  • Experience interacting with executives at all levels and departments.
  • Must be highly organized with the ability to handle multiple priorities at once.
  • Must have strong verbal and written communication skills.
  • Must be a collaborative team player with great initiative and ability to prioritize.
  • Superior judgment, professionalism, poise, ability to maintain the highest level of confidentiality, and assertiveness.
  • Excellent ability to maintain composure and effectiveness in a fast-paced environment.
  • Superior follow through skills, detail and customer service oriented.
