About the Role
The Procurement Officer supports the delivery of procurement activity, supplier control, and governance across property management services. This role ensures the business buys effectively, adheres to procurement processes, maintains accurate records, and provides practical support to operational teams. Success requires organization, commercial awareness, and the ability to manage day-to-day delivery of procurement plans. This is a growth opportunity within an expanding procurement function.
Responsibilities
- Support procurement activity across property management services, balancing value, quality, compliance, and service delivery.
- Assist with tender processes, including scope collation, supplier selection, RFQs, ITTs, clarifications, evaluation administration, recommendation packs, and contract award documentation.
- Run lower-risk sourcing activity and supplier exercises under the direction of the Procurement Manager or Procurement Lead.
- Support the identification of supplier consolidation, cost saving, service improvement, and contract management opportunities.
- Maintain the approved supplier database, including vetting, onboarding, insurance checks, compliance documentation, and periodic reviews.
- Track supplier performance using agreed KPIs, SLAs, service review outputs, and stakeholder feedback.
- Escalate poor supplier performance, weak specifications, avoidable costs, and non-compliance with agreed procurement routes.
- Coordinate supplier reviews, contract renewals, retendering activity, mobilisation actions, and performance improvement plans.
- Support commercial negotiations by preparing data, supplier comparisons, pricing schedules, clarification logs, and evaluation summaries.
- Prepare regular reporting on procurement activity, supplier performance, contract status, savings, risks, and opportunities.
- Support with category planning, procurement strategy delivery, and wider commercial initiatives.
- Work with Property Management, Facilities Management, and Asset Management teams to gather requirements and ensure procurement activity reflects operational needs.
- Provide practical procurement advice to operational and property teams and ensure requirements are properly scoped before supplier engagement.
- Ensure procurement activity follows internal governance, approval, risk management, and financial control requirements.
- Support service charge discipline by keeping procurement decisions evidenced, auditable, and explainable to stakeholders.
- Maintain accurate procurement records, contract documents, approval trails, supplier correspondence, and audit evidence.
- Identify recurring procurement issues, process gaps, or inefficient supplier arrangements and recommend practical improvements.
- Support mobilisation, transition, and new asset activity requiring supplier arrangements, procurement setup, or service contracts.
Requirements
- Procurement, supply chain, contract administration, supplier management, or commercial support experience.
- Experience in property, facilities management, real estate, or operational services.
- Good understanding of tendering, RFQs, supplier onboarding, and procurement administration.
- Ability to support negotiations through clear preparation, analysis, documentation, and follow-up.
- Good understanding of contract records, procurement controls, approval processes, and audit trails.
- Commercial awareness across cost, value, service quality, and operational risk.
- Ability to analyse spend, compare supplier proposals, and produce clear summaries and recommendations.
- Strong organisational skills and attention to detail across multiple procurement workstreams.
- Confident stakeholder engagement across Property Management, Facilities Management, Asset Management, and Finance.
- Clear written reporting, communication, and document management skills.
- Comfortable using Microsoft Office, especially Excel, Word, and PowerPoint.
- Takes ownership of allocated procurement tasks.
- Works with accuracy, pace, and good judgement.
- Challenges cost, quality, and supplier assumptions appropriately.
