About the Role
We are seeking a Recruiting & Workplace Experience Coordinator to join our People team. This role involves managing recruitment coordination and enhancing the office environment. You will schedule interviews, manage the onsite candidate experience, ensure smooth office operations, and support new hires during onboarding. This is a highly in-person position requiring five days a week in our San Francisco office, focusing on creating an organized, warm, and efficient experience for candidates, new hires, and the team.
Responsibilities
- Schedule and coordinate interviews across multiple open roles, ensuring alignment among candidates, interviewers, and hiring managers.
- Manage the onsite candidate experience, including greeting candidates, facilitating smooth interview days, and ensuring a polished visit.
- Maintain clear communication with candidates throughout the hiring process.
- Ensure the applicant tracking system is accurate and up-to-date with candidate stages and notes.
- Oversee the daily office experience, ensuring the space is stocked, organized, and welcoming.
- Plan and execute in-office events, team lunches, happy hours, and other employee experience initiatives.
- Coordinate logistics for visitors, onsite candidates, and company gatherings.
- Support new hire onboarding to ensure smooth and welcoming first days.
- Assist in preparing onboarding materials, schedules, and workspace setup.
- Collaborate with People Ops and hiring managers to address any onboarding gaps.
Requirements
- 1–2 years of experience in recruiting coordination, office management, or a related operational role.
- Strong organizational skills with the ability to manage multiple schedules and priorities.
- A warm, people-first approach to make candidates and employees feel welcome.
- Proficiency with ATS and calendar tools, with the ability to quickly learn new systems.
- Resourcefulness and initiative to problem-solve.
- Willingness to be in the office five days a week and contribute to building the company culture in person.
