About the Role

Opensity Solutions is seeking a Document Specialist to provide document production, administrative, and clerical support. This role involves managing daily tasks, engaging with clients, and fostering collaboration.

Responsibilities

  • Create, revise, reformat, and convert documents using Microsoft Office, PDF editing tools, and transcription software.
  • Prepare and edit complex documents, spreadsheets, and charts.
  • Provide coordination and administrative support for special projects.
  • Handle time-sensitive and confidential materials efficiently.
  • Perform document diagnostic activities to troubleshoot inconsistencies.
  • Create and revise work product using direct keyboard entry, scanner, or electronic conversion.
  • Transcribe audio and digital dictation, including interview and investigation transcripts.
  • Spell check, proofread, and cross-check documents for accuracy and completeness.
  • Maintain up-to-date knowledge of specialized applications and upgrades.
  • Provide feedback on team members' performance when requested.
  • Promote teamwork, confidence, and positive attitudes.
  • Provide directions, instructions, and guidance to the team.
  • Assist with reviewing re-works or poor job outputs from team members.
  • Proofread patent applications, claims, and other patent work.
  • Format USPTO files to USPTO standards.

Requirements

  • HS Diploma or GED.
  • 2-5 years of experience in document outsourcing or the legal industry preferred.
  • Ability to learn responsibilities through in-person, remote, and self-guided training.
  • Strong initiative and ability to work independently with minimal supervision.
  • Working knowledge of Microsoft applications (Outlook, Word, Excel, and PowerPoint).
  • Experience with Adobe Acrobat or Kofax for PDF manipulation is a plus.
  • Excellent spelling, grammar, punctuation, sentence structure, and proofreading skills.
  • Ability to organize and prioritize multiple assignments.
  • Ability to work independently and efficiently, ensuring seamless workload transitions.
  • Ability to excel under pressure, meet deadlines, and produce quality work.
  • Strong communication, interpersonal, teamwork, and customer service skills.
  • Experience working in a secluded remote environment conducive to focus.
