About the Role

Ecclesiastical Insurance Canada is seeking a Receptionist for a 6-month contract in their downtown Toronto office. The role focuses on maintaining a professional and organized front office, managing calls and visitors, coordinating office operations, and providing administrative support. This is an opportunity for someone who takes pride in creating a positive first impression and supporting a collaborative team.

Responsibilities

  • Manage all incoming calls and welcome guests professionally.
  • Handle mail, courier packages, and office supply deliveries.
  • Maintain office and kitchen supplies, including ordering and stocking.
  • Ensure cleanliness and organization throughout the workspace, including the kitchen area.
  • Coordinate and support internal events and meetings.
  • Provide administrative support for documents, reports, invoices, and communications.
  • Coordinate with building management for facility maintenance and Health and Safety standards.
  • Support Health and Safety initiatives.
  • Assist with donation drives, seasonal decorations, and internal communications for CSR initiatives.

Requirements

  • Minimum of 3 years’ experience in a front desk or reception role, or in a customer-facing office/facility management role.
  • Demonstrated experience in managing multiple priorities and pivoting to tasks that need immediate attention.
  • Professional, courteous, and approachable demeanor with a strong customer service orientation.
  • Excellent organizational and administrative abilities.
  • Strong interpersonal and communication skills, both verbal and written.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and standard office equipment.
  • Exceptional attention to detail and accuracy.
  • Demonstrated ability in coordinating tasks and providing outstanding service.
  • High level of initiative and ability to learn through hands-on experience with minimal formal instruction.
  • Perform regular manual handling of boxes, snacks, stationary, general office suppliers and grocery deliveries.
