About the Role
Serve as the face of the organization, playing a crucial role in shaping the first impressions of members, guests, and staff. Aim to create a welcoming environment that fosters positive interactions, enhances customer satisfaction, and promotes operational effectiveness.
Responsibilities
- Ensure the front/fitness desk area is clean, organized, and fully stocked.
- Greet and admit members and guests by scanning key fobs and verifying memberships.
- Provide a positive customer service environment.
- Provide information about all Sports, Wellness and Aquatics programs and assist participants with queries.
- Maintain a calm and courteous demeanor at all times.
- Verify that each individual has an active membership or a valid pass.
- Provide general agency information in response to inquiries.
- Process Membership sign-up and program registrations.
- Create database records.
- Process cash, check and credit card payments.
- Establish waiting lists for filled programs.
- Enroll new members in Access Control software.
- Generate/distribute membership/access control cards.
- Maintain flyer/events book.
- Maintain list of daily events.
- Notify staff of any guests needing assistance or special accommodations.
- Report any incident or accident immediately to supervisor and complete incident forms accurately.
- Perform administrative duties and tasks for Sports & Wellness Team Managers and Directors.
- Guide inquiries to the appropriate department for further information.
- Clean and organize the front desk area at the end of your shift.
- Share professional knowledge with staff by seeking out professional development opportunities.
- Support operations by appropriately representing the Agency in all forums.
- Contribute to effective use of Agency resources.
- Contribute to team effort.
- Use time effectively by appropriately planning, organizing, and scheduling required work hours.
Requirements
- Quickly identify a member’s needs related to membership, payment, program registration, or general inquiries.
- Comfortable answering phone calls and addressing member and visitor concerns professionally.
- Maintain day to day operations while providing excellent customer service.
- Possess a professional and friendly attitude.
- Be a responsible, service-oriented individual with excellent communication skills.
- Ability to multitask and problem solve in a fast-paced environment.
- Greet and check members in.
- Provide information on the SIJCC’s events and policies.
- Take reservations.
- Complete sales transactions.
- Act as telephone receptionist.
- Ensure customer satisfaction.
- Proven experience in office management, clerical work, or front desk reception roles with a focus on customer service.
- Strong computer literacy including data entry, spreadsheet management, and document proofreading.
- Excellent phone etiquette with experience operating multi-line phone systems and providing customer support over the phone.
- Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Ability to demonstrate professionalism, punctuality, and a friendly demeanor at all times.
