About the Role

Responsible for maintaining the physical condition of the property to SKPM standards, overseeing all facilities services, repairs, and leasing operations while upholding standards of safety, customer service, and efficient operations.

Responsibilities

  • Supervise trades and suppliers, coordinating facilities services and repairs for buildings and equipment.
  • Update maintenance requests status daily in Property Vista.
  • Issue Purchase Requisitions (PRs) in Property Vista for contractors upon Property Manager approval.
  • Respond to facility emergencies promptly and submit Occurrence Reports on the same date if necessary.
  • Investigate repair requests within a timely manner of receiving a written request.
  • Ensure the building and its environment are clean through daily walkthroughs.
  • Supervise cleaning, snow removal, and landscaping operations, assisting as needed.
  • Prioritize and conduct minor repairs such as plumbing and lighting.
  • Manage garbage, recycle, and organic bins/totes for scheduled pick-up.
  • Remove old appliances and install new or spare appliances as needed.
  • Order building supplies upon Property Manager approval and maintain an organized inventory.
  • Thoroughly clean common areas including lobbies, laundry rooms, washrooms, hallways, staircases, elevator cabs, and garbage rooms.
  • Clean and wipe windows, doors, trims, baseboards, walls, and floors in common areas, including appliance interiors.
  • Dust common area fixtures such as light shades, tabletops, picture frames, and elevator fans.
  • Clean and polish stainless steel surfaces.
  • Ensure outdoor grounds and indoor/outdoor parking areas are free of litter and pet debris, and trash cans are empty.
  • Maintain strong tenant relationships with excellent customer service.
  • Ensure prompt service to tenants and prospective tenants.
  • Enforce landlord's rules and regulations.
  • Serve 24-hour notice of entry in a timely manner for scheduled maintenance and inspections.
  • Deliver communications, legal notices, or letters to residents.
  • Provide information about vacant suites to prospective residents and other relevant parties.
  • Answer prospective resident inquiries in person, by phone, and email promptly, pleasantly, and informatively.
  • Schedule appointments with prospective residents, build relationships, and show vacant suites.
  • Complete guest cards and daily traffic reports, reporting weekly results to the Property Manager.
  • Follow up with completed guest cards for prospective tenants.
  • Promote tenant retention through effective communication and ensuring resident issues are addressed.
  • Provide prospective residents with rental application links via Property Vista.
  • Collect first month's rent, home insurance confirmation, and signed parking/locker forms.
  • Schedule and facilitate Tenancy Agreement signing appointments and perform move-in inspections.
  • Notify applicants of their application status within two business days of completion.
  • Organize and administer the residential referral program.
  • Record leased units, including vacate, lease, and move-in dates.
  • Regularly inspect vacant units to confirm they are clean and ready.
  • Conduct weekly rent arrears collection via phone, email, or door knocking.
  • Deposit rent cheques to the bank on the same day (if applicable outside GTA area).
  • Ensure all life safety systems are inspected as scheduled and in working order, completing daily/monthly checklists.
  • Inspect mechanical rooms daily and complete daily/monthly checklists.
  • Identify, report, and schedule rectification of safety hazards within the facility and grounds.
  • Inspect sidewalks and driveways during winter, correct hazardous conditions, and perform daily snow logs.
  • Cooperate with tenants, vendors, contractors, and the Manager of Capital Projects.
  • Participate in on-call rotation for buildings within the area, responding to emergencies within 15 minutes.
  • Perform other duties as assigned.

Requirements

  • Minimum high school diploma (Grade 12).
  • Ability to stand and walk for extended periods.
  • Ability to frequently stop, bend, and kneel.
  • Ability to lift and move objects weighing up to 50lbs.
  • Work performed both indoors and outdoors in a variety of environmental conditions.

Experience Level

  • 3 to 5 years of technical and practical experience preferred.
  • Previous experience as Resident Manager preferred.
