About the Role
The Equipment Planner is a key member of Stony Brook Medicine / Stony Brook University Hospital’s Department of Facilities Planning & Design. This dynamic role offers the opportunity to interact with various user groups and divisions throughout the institution, managing all aspects of Furniture, Fixtures & Equipment (FF&E) planning, quoting, procurement, and delivery for construction, renovation, or relocation projects.
Responsibilities
- Prepare and coordinate all necessary documentation for FF&E planning for construction, renovation, or relocation projects.
- Prepare internal department “Equipment Standardization Forms and Documents” using Microsoft Excel to maintain the equipment information database.
- Coordinate between internal departments and external vendors for FF&E specification review, timely deliveries, and acceptance of ordered items.
- Create a catalog of all internal (existing) and external (new) equipment FF&E deliveries and their locations to ensure items are received and ready for turnover.
- Develop a thorough understanding of internal procurement procedures and New York State purchasing guidelines.
- Liaise with Procurement and enter requisitions.
- Track purchase orders and change orders.
- Liaise with the Hospital Construction Project Management Office, third-party architects, and vendors to coordinate equipment specifications and delivery.
- Oversee and monitor receiving.
- Liaise with SBUH Accounts Payable (A/P) Office to ensure timely payment of invoices.
- Develop a thorough understanding of systems such as SUNY Lawson software, Project Mates construction project planning software, and others as assigned.
- Monitor, update, and track Excel schedules for all equipment purchases by project and account.
- Accurately track and analyze financial, procurement, and A/P information for all equipment purchases.
- Interact with various departments including Hospital Receiving, Accounts Payable, Property Control, Internal Audit, and other state agencies.
- Provide information on compliance with all equipment purchase transactions.
- Maintain all records required on Project Mates to provide a clear audit trail of all equipment purchases for construction and maintenance.
- Assist with the fiscal year-end process.
- Reconcile projects and accounts for closeout.
- Generate weekly, monthly, and ad-hoc reports as requested by management.
- Process, enter requisitions, track purchase orders, monitor receiving, and coordinate payment with vendors and Accounts Payable.
Requirements
- Associate’s Degree in business or related field, plus a minimum of 5 years of equipment planning experience in new construction and/or renovation projects; OR in lieu of degree, 10 years equipment planning experience in new construction and/or renovation projects.
- Must have own transportation to assist with offsite project locations.
- Proficient in Microsoft Excel and Word.
- Successfully complete pre-employment physical examination and obtain medical clearance.
- Complete electronic reference check with a minimum of three (3) professional references.
- Successfully complete a 4 panel drug screen.
- Meet Regulatory Requirements for pre employment screenings.
- Provide a copy of any required New York State license(s)/certificate(s).
