About the Role

The Facility & Scheduling Coordinator serves in the Mashouf Wellness Center, coordinating operations and scheduling for event and recreation spaces. This role also coordinates and monitors budget activity, serves as a reservations and scheduling approver, and manages event set-ups. Additionally, the incumbent coordinates and processes accounts payable, procurement purchases, and purchase orders, acting as a liaison between the engagement unit and the procurement office. The role requires strategic alignment with campus and divisional missions, adhering to best practices in higher education and collegiate recreation.

Responsibilities

  • Prepare and monitor annual budget, program and equipment purchases, and partnership agreements.
  • Provide support for requisitions, complete requisitions, finalize payments to external vendors, initiate low-cost service agreements, and gather vendor insurance documents.
  • Coordinate communication with the Procurement Department regarding departmental contracts.
  • Create requisitions for departmental purchases and track/maintain forms for purchase orders and invoice payments.
  • Serve as the MWC’s Building Coordinator and back-up MWC Building Emergency Response Coordinator (BERC).
  • Contribute to department-wide initiatives that further Campus Recreation goals.
  • Serve on search committees.
  • Act as the departmental liaison with Accounts Payable and the Procurement Card Office for fiscal paperwork.
  • Participate in staff meetings, staff training, and appropriate national associations.
  • Coordinate and administer DSL purchase processes and monitor requests for compliance.
  • Oversee building systems for Mashouf Wellness Center & Annex, including access, security, and building management controls.
  • Coordinate and monitor building operations.
  • Work closely with the Aquatics & Safety Programs Coordinator to ensure proper risk management and safety protocols.
  • Use Event Management System software for scheduling spaces based on established policies and protocols.
  • Anticipate and resolve scheduling conflicts, provide set-up and support for building usage, and communicate user needs to staff.
  • Provide and interpret data, solicit feedback, and research best practices to improve operational areas.
  • Serve as liaison to various campus offices/departments and work with 3rd party vendors within contractual guidelines.
  • Participate in professional development opportunities and continuing education courses.
  • Liaise with student organizations, campus departments, community groups, and Conferences & Events to schedule sport and recreation space.
  • Use Event Management Software to schedule space within the Gymnasium and Outdoor Recreational Spaces.
  • Anticipate and resolve conflicts and provide support for events.
  • Perform other duties as assigned.

Requirements

  • General knowledge and skills in the applicable administrative and/or program field.
  • Foundational knowledge of public administration principles, practices, and methods.
  • Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations with diverse demands.
  • Skill in research, development, and evaluation of policies and programs.
  • Skill in data collection, evaluation, and interpretation.
  • Expertise in investigating and analyzing problems with broad administrative impact.
  • Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas.
  • Ability to train others on new skills and procedures and provide lead work direction.
  • Must be able to succeed in a fast-paced, multi-tasking environment.
  • Must be able to work variable nights, weekends and/or holidays, on-campus or off-site, indoors and outdoors.
  • Must be able to use computers and other communication tools for extended periods of time.
  • Must be able to competently interact with a culturally and ethnically diverse population.
  • First Aid/CPR/AED Certification required.
  • Must comply with CSU Executive Order 1083 as a condition of employment.
  • Successful completion of a background check is required.
  • Must be able to provide proof of US Citizenship or authorization to work in the United States.
