About the Role
As a Unit Secretary, you will serve as the central point of contact for a medical-surgical unit, managing communication, patient charts, and front desk operations to allow nurses and physicians to focus on direct patient care. Your role is crucial in orchestrating a calm, safe, and coordinated environment, directly impacting hospital wait times and supporting clinical teams.
Responsibilities
- Handle all incoming phone calls and patient intercoms with a friendly, respectful tone, routing messages to the right staff instantly.
- Seamlessly manage the electronic paperwork required for patient admissions, transfers, discharges, and unit medical records.
- Transcribe specific physician orders for diagnostic tests, specialized treatments, outside consults, and medications.
- Order crucial medical supplies, arrange immediate equipment repairs, and manage the unit’s bulletin and communication boards.
- Arrange for the prompt escort and transit of patients, urgent specimens, vital supplies, and equipment across different hospital wings.
- Spot and address minor unit problems or communication bottlenecks immediately, escalating issues to the Director when necessary.
Requirements
- High school diploma or GED required.
- 1 year of healthcare office experience or direct patient care experience at any level is highly preferred.
- Strong computer literacy, basic math skills, and excellent written and verbal communication are required.
- Highly organized, able to multi-task under pressure, and exceptionally dependable with your schedule.
- A foundational grasp of basic medical terminology is a plus.
