About the Role

Maintain an extensive floor presence, acting as the primary point of contact to provide high-level hospitality and customer service to clients, their guests, and vendors with professionalism and courtesy. The role integrates VIP experience, office services, and an elevated workplace environment focused on driving results.

Responsibilities

  • Own the floor, ensuring all systems and operations function correctly and reporting/following up on issues with facilities, maintenance, security, and IT.
  • Ensure legal and business professionals have appropriate space, connectivity, and supplies.
  • Manage all service requests (imaging, car service, mailing, printing) with a closed-loop approach.
  • Greet visitors and provide them with office services and general office information.
  • Anticipate needs and proactively seek opportunities to enhance the end-user experience.
  • Operate advanced features of print properties for Adobe Acrobat, Excel, Outlook, and Microsoft Word.
  • Complete jobs to individual preferences and ensure preferences are updated regularly.
  • Answer emails and phone calls professionally, representing the company appropriately.
  • Operate PS Ship in Outlook to create domestic and foreign Fed Ex labels and hyperlinks for tracking.
  • Create white labels for shipping and prepare envelopes with proper addresses.
  • Manage time effectively, answering emails promptly and completing tasks within appropriate timeframes.
  • Bind documents using various office methods (binding, laminating, cutting).
  • Manage floor supply inventory, including restock frequency and specialty supply needs.
  • Solve minor hardware issues such as paper jams and cleaning.
  • Input all requests and task completions into accountability software.
  • Provide operational expertise and consultation for events, including best practices, request routing, and supplies.
  • Manage a high volume of work efficiently, tracking accountability for all service requests.
  • Juggle competing demands by prioritizing or delegating tasks.
  • Consistently overcome challenges and leverage resources to solve problems creatively.
  • Propose solutions to issues with minimal guidance and ask for help when needed.
  • Notice and fix errors, acknowledging mistakes as learning opportunities.
  • Plan and find alternative paths to achieve goals without sacrificing quality.
  • Build authentic professional relationships and seek opportunities to deliver exceptional service.
  • Ensure total customer satisfaction by understanding expectations, proactively resolving issues, and building relationships.
  • Work with facilities, catering, and other vendors as needed.
  • Receive, sort, and deliver all incoming mail and packages within established time frames.
  • Log outgoing and incoming items, reviewing for accuracy and completeness.
  • Organize and distribute supplies to client employees, verifying and logging orders upon delivery.
  • Monitor inventory of supplies, stock paper and toner, and maintain neatness in office and copy areas.
  • Handle items for distribution to client employees, affiliates, and dealers.
  • Estimate runtime for small to medium photocopy jobs, check quality and accuracy, and produce bound copies.
  • Deliver and pick up copy jobs.
  • Perform minor maintenance on photocopy machines, including solving paper jams, placing service calls, and routine cleanings.
  • Prepare weekly production and volume reports for productivity measurement and billing.
  • Provide administrative services such as inserting, copying, photocopying, and faxing.
  • Set up and maintain visiting attorneys’ offices.
  • Learn new features and functionalities of copying machines, faxes, scanning, and shipping equipment.
  • Train end users on new features and functionalities of copying machines, faxes, scanning, and shipping equipment.

Requirements

  • High school diploma or equivalent.
  • 0-1+ years of experience in a mailroom and/or professional office environment.
  • Prior hospitality experience (managing office inventory, conference room setup, event assistance).
  • Ability to provide a high level of exceptional customer service.
  • Strong attention to detail and a high level of initiative.
  • Thorough knowledge of all metering, weighting, logging, and other shipping procedures.
  • Proficient computer skills (MS Office, etc.).
  • Ability to perform complex functions of various equipment and systems (fax, scanner, metering, stamping, tracking systems).
  • Professional attitude and appearance are a must.
  • Requires regular twisting/turning/squatting/bending/reaching/lifting and prolonged periods of sitting, standing or walking.
  • May regularly lift and carry up to 20 lbs. and move (push mail cart) over 50 lbs.
  • May occasionally lift up to 50 lbs.
  • May occasionally need to climb stairs.
  • Ability to work overtime.
