Responsibilities
- Schedule patient appointments and tests efficiently and in a timely manner.
- Perform outside scheduling and/or surgical scheduling responsibilities.
- Greet patients and guests courteously and professionally.
- Serve as a liaison between patients and medical staff.
- Support and adhere to the New York Oncology Hematology Compliance Program.
- Protect patient confidentiality and adhere to HIPAA laws.
- Verify patient date of birth and obtain required forms.
- Answer incoming calls and messages related to scheduling.
- Schedule new patients, referrals, and returning patients in the computer system.
- Receive referrals, create accounts, and enter insurance information.
- Request initial records and schedule consults.
- Mail out new patient packets.
- Initiate prior authorization requests and complete EMR documentation.
- Communicate appointment details and necessary prep work to patients.
- Adhere to scheduling templates including physician meetings and satellite schedules.
- Prepare correspondence, memos, forms, and other typing as requested.
- Process EMR orders and complete chart messages.
- Work the bump list and no-show reports.
- Monitor order queues to meet practice metrics.
- Cancel/reschedule appointments and notify appropriate personnel.
- Comply with no-show process and policy.
- Work with supervisors to achieve optimal scheduling within the infusion room.
- Meet appropriate metrics and use provided checklists.
- Arrange for patients to have financial counseling.
- Cover other front office functions as requested.
- Float as needed and assist other sites remotely.
- Perform other duties as assigned.
Requirements
- High school diploma or equivalent required.
- Excellent communication skills, written and verbal.
- Proficiency in Microsoft Office (Outlook, Word, Excel) required.
- Must be able to sit for long periods.
- Must be able to stoop, bend, and stretch for files and supplies.
- Ability to lift files or paper weighing up to 30 pounds.
- Manual dexterity sufficient to operate office equipment.
- Vision correctable to 20/20.
- Hearing in the normal range for telephone contacts.
- Ability to view and type on computer screens for prolonged periods.
Skills
- Medical terminology knowledge is a plus.
- Coding knowledge is a plus.
