About the Role
As a Proposal Manager, you will play a pivotal role in driving the success of our bids by managing the proposal efforts for multiple project pursuits. You will oversee the collection and organization of documents, ensuring that every piece of information is meticulously prepared for submission. Your expertise will streamline the bidding process and enhance our competitive edge. Collaborate with industry experts to craft winning proposals that highlight our strengths and capabilities.
Responsibilities
- Oversee the collection and creation of project proposals, ensuring all required items are included before the bid submittal deadline.
- Provide leadership and expertise for the assigned company division, including commonly used content, project and resume building, and identifying key staff.
- Act as a resource for Division Proposal leadership to support qualifications and information needed by other divisions.
- Track the collection of forms, information, and data required for each pursuit per deadlines.
- Develop and manage the proposal schedule within pursuit and submittal deadlines.
- Create the compliance matrix that assigns tasks to the supporting proposal team for technical proposal documentation and development.
- Develop and implement the Proposal Work Plan to meet RFP requirements and evaluation criteria.
- Assemble proposal documents in various software formats.
- Review and edit proposal content to support one-voice methodology.
- Work closely with division and estimating teams to complete division forms and coordinate the Proposal Work Plan.
- Coordinate and track surety and bonding information and any required signature documents.
- Coordinate with Joint Venture (JV) partners and subcontractors to obtain necessary proposal information.
- Compile technical writing and support documentation based on interviews and examples provided by estimators, engineers, and subject matter experts.
- Proofread, edit, and standardize proposal text for proper grammar, spelling, comprehension, and style.
- Develop and manage layout, design, and document feel to ensure a marketing-quality product.
- Maintain the current version of RFP documents and ensure all supporting team members have access.
- Notify the proposal team when important project information becomes available.
- Lead the final publishing of the proposal and delivery to the Owner.
- Update proposal templates and project sheets and ensure all relevant information is stored in the database.
- Complete forms for Company and District award submittals.
Requirements
- Bachelor's Degree in English, Marketing, Communications or a related field required.
- 6+ years’ project pursuit experience in construction or engineering industry required.
- Minimum 3+ years’ experience as proposal coordinator highly regarded.
- Coaches, guides and mentors staff and direct reports in a fast-paced, high-pressure environment.
- Proven ability to develop proposal schedule and assign deliverables to proposal team.
- Proven ability to take on a larger bid proposal or multiple proposals at one time.
- Travel for pursuit meetings and Company proposal support.
- Proven ability to write and edit project summaries, resumes of project personnel, and other supporting information.
- Strong communication, attention to detail, organizational, time management and task prioritization skills required.
- Knowledge or skill in graphic design highly regarded.
- Advanced knowledge of Adobe Acrobat Professional, Photoshop and InDesign.
- Deltek Vision preferred.
- Maintains registration in relevant organizations / associations (for example, Road Builders Association).
