About the Role
The Turing Building is a newly constructed, 350,000 sq ft workspace designed for learning, creativity, and nature, offering a Grade A environment with sustainable design and amenities. We are seeking a dynamic Assistant Operations Manager to represent the building, communicate its vision and values, and ensure a high-quality operational management service for occupiers. This role involves administrative tasks, acting as a deputy to the Operations Manager, and motivating the onsite team to deliver exceptional experiences.
Responsibilities
- Deliver all administrative tasks associated with Turing Building, including filing, document storage, minute taking, and report compilation.
- Act as deputy and first point of contact for the Turing Building team and occupiers when the Operations Manager is absent.
- Focus and motivate the onsite team to deliver the best experience in one of the premium UK office developments.
- Drive Turing Building vision and values, ensuring integration into all property services.
- Ensure a self-motivated, can-do attitude is promoted within the property team.
- Promote a methodical, measured approach when resolving issues.
- Support the Operations Manager in maintaining high standards of service delivery, encompassing innovation, sustainability, and customer focus.
- Support new team members with designated training and site inductions.
- Ensure all building key service commitments are completed in line with company policy.
- Develop and maintain professional working relationships with all service partners.
- Participate in monthly KPI meetings with service partners, discussing performance and underperformance.
- Support the Operations Manager with procuring building and contracted services following company tender guidelines.
- Escort contractors, insurance inspections, and auditors.
- Ensure good awareness of the property Health & Safety Policy and communicate it effectively.
- Update compliance documents and schedule upcoming compliance inspections/audits.
- Support the Operations Manager to maintain 100% SEMs compliance.
- Ensure Health & Safety, emergency procedures, and safe working practices are maintained.
- Review and upload checks conducted by suppliers or service partners to relevant systems.
- Ensure all incidents and accidents are recorded, reported, investigated, and remedial measures are attended to.
- Complete accident forms and upload records and related evidence to the Portal and insurance company notifications.
- Work with the Operations Manager and technical team to achieve full compliance with statutory legislation.
- Actively engage in ESG initiatives and drive the adoption of policies and procedures.
- Lead on submitting data for client H&S platform Enablon.
- Attend client quarterly ESG meetings and present ESG Data tracker and action plan.
- Support the Operations Manager to ensure the sustainability ESG agenda is embraced by the team.
- Promote ESG initiatives with occupiers and service partners.
- Support events and community programmes, creating an annual planner in consultation with building users.
- Ensure ESG initiatives are the foundation of operational delivery.
- Work within Savills RISE methodology, aligning with Turing Building vision and values.
- Assist with budget preparation by collating costs from service partners.
- Review, code, and process supplier invoices for payment.
- Assist with creating annual service partner contracts and purchase orders.
- Develop and maintain a professional working relationship with occupier representatives and key stakeholders.
- Become the main point of contact when the Operations Manager is unavailable.
- Assist the Operations Manager with frequent and open communication of building issues to occupiers and stakeholders.
- Attend occupier meetings, documenting minutes and ensuring actions are completed.
- Lead in developing relationships with customers, external stakeholders, clients, and the Stratford Cross team.
- Lead in managing communications with all occupiers and customers, including customer relationship practices, online/digital media, and social media.
- Enhance the Turing Building app and contribute to the website and social media presence.
- Draft and upload regular content to the app, including tenant deals, events, and planned maintenance.
- Manage website and social media feeds.
- Implement innovative engagement with users.
Requirements
- Prior experience in commercial property management.
- Prior experience in a customer-facing role.
- Experience supervising contractors and service providers.
- Experience with budget management.
