About the Role

Responsibilities

  • Manage scheduling and coordination of meetings with internal and/or external stakeholders.
  • Respond to emails and phone calls promptly, routing inquiries and following up on tasks.
  • Coordinate office maintenance, manage inventory, and reconcile invoices and expenses.
  • Ensure timely submission of Dimensions timekeeping reports.
  • Manage department invoices and process payments.
  • Prepare for meetings by reserving rooms, supporting IT setup, printing materials, and arranging catering.
  • Provide administrative support to other Administrative Assistants as part of a shared coverage model.
  • Coordinate domestic and international travel arrangements, including flights, cars, and hotels.

  • Ability to manage multiple executives’ schedules and deliverables.
