About the Role
The Billing Assistant supports billing coordinators, attorneys, and staff with complex billing assignments, invoice preparation, processing, and data maintenance.
Responsibilities
- Assist with creating, editing, and processing high volumes of invoices.
- Review invoices for misallocated time and compliance with client guidelines.
- Edit draft invoices based on partner mark-ups, including narrative changes, fee transfers, and write-offs.
- File bill packages in accordance with department policy.
- Attend meetings to discuss billing strategy and outstanding invoices.
- Maintain and update client and matter billing instructions.
- Submit e-bills via eBillingHub or client-designated websites.
- Identify and resolve e-billing rejections and short payments.
- Provide administrative support including filing, expense documentation, and responding to inquiries.
- Enhance knowledge of billing processes and procedures.
- Maintain confidentiality of client and firm matters.
- Assist with special projects and perform other duties as assigned.
Requirements
- Strong written and oral communication skills.
- Basic math proficiency including addition, subtraction, multiplication, division, and percentages.
- Proficiency in Microsoft Office Suite.
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong attention to detail and customer service skills.
- Demonstrated analytical and problem-solving abilities.
- Ability to organize, prioritize, and meet deadlines under pressure.
- Ability to handle sensitive and confidential information with discretion.
- Flexibility to work additional hours as needed.
- Must be authorized to work in the U.S. without visa sponsorship.
