About the Role
The Speaker Operations Manager is responsible for delivering a seamless end-to-end experience for speakers across the event lifecycle. This role ensures clear communication, effective coordination, and exceptional customer service from onboarding through to onsite delivery, while managing speaker communications, agendas, and assets.
Responsibilities
- Manage the speaker onboarding process and act as the main point of contact for speakers and their teams throughout the event cycle.
- Write and send scheduled speaker communications and manage the speaker inbox, responding promptly to queries.
- Collect and distribute speaker assets, ensuring all information is accurate and shared with relevant teams.
- Work closely with the Content team to maintain internal documentation and manage agenda updates.
- Keep the event website, speaker pages, and onsite event app up to date with agenda and speaker information.
- Collaborate with the Marketing team to proof speaker campaigns and coordinate promotional assets.
- Organise speaker gifts.
- Coordinate speaker presentations with AV suppliers and provide information for onsite event systems.
- Create Run of Show documents and brief Stage Managers ahead of the event.
- Travel to events to manage the onsite speaker experience, including speaker check-in, the Speaker Lounge, and speaker logistics.
- Coordinate temporary staff to ensure a professional and welcoming speaker environment.
- Deliver an exceptional level of service to all speakers, ensuring their experience is smooth, professional, and enjoyable.
Requirements
- Experience in event operations, conference production, or stakeholder management.
- Excellent organisation and project management skills with the ability to manage multiple deadlines.
- Strong written and verbal communication skills.
- Exceptional attention to detail and a proactive approach to problem solving.
- Confidence building relationships with senior stakeholders and working collaboratively across teams.
- A customer-focused, adaptable mindset with a willingness to travel to support onsite event delivery.
