About the Role
The Receptionist/Admin Assist II is the face of the workplace and a key representative of the Austin Design Center of Renesas Electronics America, Inc. This role requires friendliness, discretion, and attention to detail to deliver a high standard of front-of-house service, support staff and visitors, and ensure reception and meeting environments reflect company standards.
Responsibilities
- Act as the primary point of contact for visitors, guests, and staff, delivering a polished and professional first impression.
- Manage day-to-day front of house operations to ensure a seamless visitor experience.
- Build effective working relationships with internal teams and vendors.
- Manage reception and receiving of visitors and packages in a timely manner.
- Ensure contacts are notified efficiently of their visitors' arrival and of any packages that have been delivered for them.
- Coordinate meeting room bookings, access and hospitality requirements.
- Support corporate meetings and events, ensuring spaces are prepared to a high standard.
- Work closely with Facilities to ensure reception and meeting areas are maintained, presentable and fully operational.
- Provide general administrative support related to workplace operations, including visitor access cards and staff requests.
- Maintain accurate records, logs and documentation in line with REA procedures.
- Support onboarding activities in coordination with the HR and IT teams.
- Maintain reception SOPs, systems, and shared documentation.
- Support day-to-day access control processes for staff, visitors and vendors.
- Keep updated suite access records and RICOH check-in records.
- Maintain break room snacks and drinks, working with vendors and placing orders as needed.
- Provide adequate stationery supplies for employees by keeping sufficient stock.
- Create shipping documents for FedEx domestic and international shipments as requested.
- Order small supplies from Amazon as requested by employees and approved by their managers.
Requirements
- Exceptionally well presented, professional, and confident in a front-facing role.
- Strong service mindset with pride in delivering high standards.
- Reliable, organized, and comfortable working in a structured corporate environment.
- Clear communication skills in English.
- Competent in Microsoft Outlook, Excel, and standard office systems.
- Experience in front of house, hospitality, corporate services, or facilities support.
- Exposure to professional services or office environments.
- Genuine ambition to develop a long-term career within Facilities Management.
