Responsibilities

  • Plan, formulate, organize, control, and direct office operations
  • Develop office schedules and ensure adherence
  • Foster a respectful and cooperative working environment
  • Be available to employees to discuss issues
  • Schedule maintenance for lab and office equipment, and manage IT issues
  • Collaborate with other managers to identify best practices
  • Monitor and order office supplies
  • Reconcile packing slips and invoices with Accounts Receivable
  • Monitor operations, programs, and payer rules for compliance
  • Collaborate with peers and staff on new system implementation and training
  • Ensure compliance with federal, state, and local regulations for medical practices
  • Measure practice KPIs, gather feedback, and assess retention rates
  • Hire, onboard, train, and supervise office staff, managing their performance
  • Manage all employee time off requests
  • Oversee day-to-day office operations, including scheduling, performance management input, and conflict resolution
  • Coordinate patient scheduling tasks and delegate to staff
  • Oversee tasks related to no-show reports and send out No-show letters
  • Ensure patient no-shows are filled in the physician schedule
  • Maintain Front Desk and coverage schedules
  • Coordinate processes for incoming referrals
  • Perform check-in and check-out duties and process co-payments
  • Facilitate monthly team meetings
  • Prepare charts for new and existing patients
  • Perform second-line balancing for Front Desk co-payments, patient responsibility payments, and cash-out reports
  • Provide telephone support, including nurse line, triage, and authorizations
  • Schedule interpreter services for patients
  • Address changes, process implementation, leadership decisions, and staff/patient concerns with Office Administration
  • Perform other tasks as requested to support patient and business needs
  • Maintain office supplies, internal phone list, housekeeping requests, basic IT technical support, and other daily operations
  • Maintain job postings, schedule, and participate in interviews
  • Perform other duties as required

Requirements

  • Bachelor’s degree in Health Care Administration and one (1) year of related work experience; OR Associate’s degree and two (2) years of related experience; OR High School Diploma or GED and three (3) years of related work experience
  • Experience in a medical practice or similar organization
  • Strong understanding of patient throughput, compliance, staff supervision, and financial management
